Attendance in Frappe HR: Marking and Recording Daily Attendance

Attendance is simply a record of whether an employee was present on a particular day. In Frappe HR, you mark and record an employee’s attendance on a daily basis using the Attendance document, which then feeds into reporting and payroll.

You will find it under Home > Human Resources > Attendance.

BEFORE YOU START

It is advisable to create the following first: the Employee record, and a Shift Type if you intend to record attendance against shifts.

How to create an Attendance record

  1. Go to the Attendance list and click New.
  2. Select the Employee.
  3. Select the Attendance Date.
  4. Select the Shift (optional).
  5. Select the Status – Present, Absent, On Leave, or Half Day.
  6. Save and Submit.

COMMON MISTAKE

Attendance cannot be marked for future dates. You can only record attendance for today or days that have already passed, so don’t try to pre-fill attendance ahead of time.

For a consolidated view, the Monthly Attendance Details report gives you a month-by-month summary of your attendance data. And when you need to handle many people at once, you can use the Employee Attendance Tool to set attendance for a group, or Upload Attendance to import it in bulk.

Marking unmarked attendance

If attendance for some employees has been missed, you can fill in the gaps in one go rather than creating records one by one:

  1. Go to the Attendance list.
  2. Click the Mark Attendance button a dialog opens.
  3. Select the Employee and the Month.
  4. Select the Status (Present, Absent, or Half Day).
  5. Tick Exclude Holidays if you do not want holidays included.
  6. Select the dates you want to mark for that employee.
  7. Click Mark Attendance, then confirm with Yes.

TIP

You don’t have to mark attendance by hand at all. Frappe HR can record it automatically from check-in/check-out logs including from biometric or RFID devices using the Auto Attendance feature. For larger teams, this is usually the better approach.

Attendance records whether an employee was present on a given day. Create the Employee (and a Shift Type if needed) first, then add an Attendance record by selecting the employee, date, optional shift, and status, and submitting it. Attendance cannot be marked for future dates. Use the Monthly Attendance Details report to review data, the Employee Attendance Tool or Upload Attendance for bulk marking, the Mark Attendance button to fill in missed days, and Auto Attendance to record attendance automatically from check-in logs or biometric devices.
