Sharing Dashboards

Frappe Insights makes it easy to share dashboards with individuals, teams, or external users. Depending on your requirements, you can keep a dashboard private, share it within your organization, grant access to specific users, or generate a public link.

Note

Dashboard sharing controls who can view or edit a dashboard. The level of access depends on the sharing option you choose and the user’s permissions.

Sharing Options

Private

The default sharing mode for every dashboard.

  • Only the dashboard owner can view the dashboard.
  • The dashboard is not visible to any other users.

Share with Specific People

Grant access to selected users within your organization.

  • Select individual users who should have access.
  • The shared dashboard appears in their dashboard list.
  • You can add or remove users at any time.

Share with Organization

Make the dashboard available to everyone in your organization.

  • All organization members can access the dashboard.
  • The dashboard appears automatically in their dashboard list.
  • Ideal for team-wide reports and operational dashboards.

Public Link

Create a shareable link that anyone can use to view the dashboard.

  • No login is required unless otherwise configured.
  • Suitable for sharing dashboards with customers or external stakeholders.
  • The public link remains active until it is disabled.

Share a Dashboard

  1. Open the dashboard you want to share.
  2. Click the Share button in the dashboard header.
  3. Select one of the available sharing options:
    • Private
    • Organization
    • Public
  4. To share with specific users, search for and select the required people.
  5. If using a public dashboard, copy the generated share link.
  6. Click Save to apply the changes.

Tip

Start with a private dashboard while building it. Once the dashboard is complete, share it with your team or publish it externally if required.

Public Sharing Features

Copy Share Link

Generate a public URL that can be shared through email, messaging platforms, or documentation. Anyone with the link can access the dashboard while the link remains active.

Embed Dashboard

Click Get Embed Code to generate an <iframe> snippet that allows the dashboard to be embedded into websites, portals, or internal applications.

Manage Shared Access

The sharing dialog displays all users who currently have access to the dashboard. You can:

  • View everyone with access.
  • Remove users individually.
  • Switch between Private, Organization, and Public sharing at any time.

Access Levels

View Access

  • View dashboard contents.
  • Interact with filters.
  • Explore charts and visualizations.
  • Cannot modify the dashboard layout or contents.

Edit Access

Dashboard creators and users with workbook editing permissions can:

  • Edit the dashboard layout.
  • Add or remove charts and text blocks.
  • Modify dashboard filters.
  • Update sharing settings.

Best Practices

  • Keep dashboards private while they are being developed.
  • Use Organization sharing for internal reports used by multiple teams.
  • Use Public Links only when dashboards need to be shared externally.
  • Review dashboard access regularly and remove users who no longer require access.
