Opening Balances
If you’re moving from another accounting system to Frappe Books, you’ll need to enter your company’s opening balances. This ensures your financial records continue from the correct starting point without losing historical balances.
Opening balances are typically entered using an Opening Entry Journal Entry based on the Trial Balance from your previous accounting system.
Before You Begin
Obtain the latest Trial Balance from your previous accounting software. This report contains the debit and credit balances required to create your opening entry.
Step 1: Get Your Trial Balance
Export or print the latest Trial Balance report from your previous accounting system.
The report should include:
- Account names
- Debit balances
- Credit balances
These balances will be used to create the opening entry in Frappe Books.
Step 2: Create Missing Accounts
Before entering the opening balances, compare your Trial Balance with the Chart of Accounts in Frappe Books.
If your previous system contains accounts that do not already exist:
- Navigate to Setup → Chart of Accounts.
- Create the missing Ledger or Group Accounts.
- Ensure each account is created under the appropriate parent account.
Step 3: Create an Opening Entry
After your Chart of Accounts is ready, create an Opening Entry Journal Entry.
- Navigate to Common → Journal Entry.
- Click the + button to create a new Journal Entry.
- Select Opening Entry as the Entry Type.
- Add one row for each account listed in your Trial Balance.
- Select the appropriate account for each row.
- Enter the corresponding Debit or Credit amount.
- Review all entries carefully.
- Click Save.
- Once verified, click Submit.
Reference Information
You can optionally provide:
- Reference Number
- Reference Date
These fields help identify the source of your opening balances for future reference or auditing purposes.
After Submission
Submitting the Opening Entry creates a Journal Transaction that records your company’s opening balances in Frappe Books.
Your financial records will now reflect the same account balances as your previous accounting system, allowing you to continue recording new business transactions without interruption.
