General Ledger
The General Ledger report provides a detailed record of every accounting transaction posted in the system. Each transaction records both debit and credit entries, allowing you to review all financial activities for a selected reporting period.
This report helps you track account activity, verify transactions, and analyze entries generated from invoices, payments, journal entries, and other financial documents.

Every financial transaction creates both debit and credit entries, ensuring complete double-entry accounting in the General Ledger.

Report Filters
The General Ledger report includes several filters to help you locate specific accounting entries.
| Filter | Description |
|---|---|
| Ref Type | Displays entries created from a specific transaction type, such as Journal Entry, Sales Invoice, or Purchase Invoice. |
| Ref Name | Shows ledger entries generated by a specific transaction. This filter becomes available after selecting a Ref Type. |
| Account | Displays only entries where the selected account has been debited or credited. |
| Party | Filters transactions involving a specific customer or supplier. |
| From Date | Sets the starting date for the report. By default, it is one year before tomorrow. |
| To Date | Sets the ending date for the report. By default, it is one day after today. |
| Group By | Groups ledger entries based on the selected option, such as Reference. |
| Include Cancelled | Includes cancelled transactions in the report. |
| Ascending Order | Displays entries from oldest to newest instead of the default newest-to-oldest order. |
Using Ref Type and Ref Name
The Ref Type filter lets you view ledger entries created by a specific transaction type.
For example, selecting Journal Entry displays only ledger entries generated from journal entries.
After selecting a Ref Type, you can use the Ref Name filter to view all ledger entries created by a single transaction.
Grouping Entries
The Group By filter organizes ledger entries based on the selected grouping option.
For example, choosing Reference groups all debit and credit entries belonging to the same transaction together, making reconciliation easier.
Cancelled Transactions
Enable the Include Cancelled option to display cancelled transactions in the report.
When this option is enabled, an additional Reverted column appears to identify entries that have been cancelled.
Sorting Entries
By default, the General Ledger displays the newest transactions first.
- Leave Ascending Order unchecked to view the latest entries first.
- Enable Ascending Order to display transactions from oldest to newest.
Best Practices
- Use the Account filter when reviewing activity for a specific ledger account.
- Use Ref Type and Ref Name together to investigate individual transactions.
- Enable Include Cancelled when auditing transaction history.
- Group entries by Reference to simplify reconciliation.
- Switch to ascending order when reviewing transactions chronologically.
