Profit and Loss

The Profit and Loss (P&L) report summarizes your company’s income, expenses, and net profit or loss over a selected reporting period. It helps you evaluate business performance by showing how much income was earned and how much expense was incurred during that time.

Unlike the Balance Sheet, which shows your financial position at a point in time, the Profit and Loss report focuses on business performance over a specific period.

Tip

Use the Profit and Loss report to compare profitability across different months, quarters, or fiscal years and identify trends in your business performance.

Understanding the Report

The report displays all Income accounts followed by all Expense accounts for the selected reporting period. The final section calculates the overall Profit or Loss.

By default, the Profit and Loss report displays financial data for the last three months.

The report can help you:

  • Compare this month’s profit with previous months.
  • Analyze quarterly or yearly business performance.
  • Review income and expense trends over time.
  • Determine profit or loss for any selected reporting period.

Report Filters

Several filters are available to customize the report according to your reporting requirements.

Filter Description
Based On Select whether the report is generated using Until Date or Fiscal Year.
Periodicity Select the reporting interval such as Monthly, Quarterly, Half-Yearly, or Yearly.
Date Range The available date filters depend on the selected Based On option.
Consolidate Columns Displays a single summary column by combining all reporting periods.
Hide Group Amounts Displays only ledger accounts by hiding calculated group account totals.

Based On Options

The Based On filter determines how the reporting period is selected.

Fiscal Year From Year and To Year

Until Date Filters

When Based On is set to Until Date, the following filters are available:

  • To Date: Specifies the ending date for the report.
  • Count: Determines how many reporting periods are displayed based on the selected periodicity.

For example, if Periodicity is set to Monthly and Count is 3, the report displays Profit and Loss values for the previous three months ending on the selected To Date.

Fiscal Year Filters

When Based On is set to Fiscal Year, use the following filters:

  • From Year: Specifies the starting fiscal year.
  • To Year: Specifies the ending fiscal year.

The number of report columns depends on the selected Periodicity.

Consolidate Columns

Enable Consolidate Columns to combine values from all reporting periods into a single summary column for easier analysis.

Hide Group Amounts

The report displays both Group Accounts (such as Direct Income or Indirect Expenses) and individual Ledger Accounts (such as Sales or Rent Expense).

Since Group Account balances are calculated from their child ledger accounts, enabling Hide Group Amounts displays only individual ledger accounts, making the report easier to read.

Folding Group Accounts

Group accounts can be expanded or collapsed to simplify navigation through the report.

  • Click a group account to collapse all underlying ledger accounts.
  • Click it again to expand and display the child accounts.

Best Practices

  • Review the report monthly to monitor business profitability.
  • Use Quarterly or Yearly views for long-term performance analysis.
  • Enable Consolidate Columns when you need an overall summary instead of period-wise values.
  • Use Hide Group Amounts to focus on individual income and expense accounts.
  • Collapse group accounts when reviewing large Profit and Loss reports.
