Batches
Batch management allows you to group inventory into uniquely identifiable batches for easier tracking and inventory control. A Batch represents a collection of identical items that can be managed together throughout their lifecycle.
Batch tracking is particularly useful for products with manufacturing dates, expiry dates, lot numbers, or quality control requirements.
Tip
Use Batch tracking for products where groups of items need to be identified together, such as pharmaceuticals, food products, chemicals, and manufactured goods.
Enable Batch Management
Before using Batches, enable the feature from the Inventory Settings.
After enabling the feature, you can access the Batch List by opening Quick Search, typing “Batch List”, and selecting the corresponding option.
Enable Batches for an Item
To make an item batch-controlled:
- Create or open an Item.
- Enable Track Item.
- Enable Has Batch.
- Save the Item.
Information
The Has Batch option is available only when Track Item is enabled.
Using Batches in Transactions
Once Batch tracking is enabled for an item, every inventory transaction involving that item must specify the appropriate Batch.
This applies to transactions such as:
- Purchase Receipt
- Shipment
- Stock Movement
While entering an item in a transaction, click the edit button for the item row and select the appropriate Batch before submitting the transaction.
Batch Selection
Always select the correct Batch during inventory transactions to maintain accurate stock tracking and traceability.
Batch-wise Reports
Once Batch management is enabled, inventory reports automatically include Batch information for tracked items.
The following reports display Batch details:
- Stock Ledger
- Stock Balance
Both reports include an additional Batch column, making it easy to identify inventory movements and stock quantities for each Batch.
Batch Filters
Inventory reports also allow you to filter records by a specific Batch.
This helps you:
- View stock movements for a single Batch.
- Check the available quantity of a particular Batch.
- Analyze Batch-specific inventory history.
Best Practices
- Enable Batch tracking only for items that require lot-level identification.
- Assign the correct Batch during every inventory transaction.
- Use Batch filters in Stock Ledger and Stock Balance reports for faster inventory analysis.
- Maintain consistent Batch naming conventions for easier tracking and reporting.
