Purchase Receipt

A Purchase Receipt is an inventory transaction used to record the receipt of goods from a supplier after a purchase has been made. It updates your inventory by recording the inward movement of stock and helps maintain accurate inventory records.

Tip

Use Purchase Receipts whenever goods are physically received from a supplier. This keeps your inventory synchronized with actual stock movement.

Ways to Create a Purchase Receipt

There are two methods available for creating a Purchase Receipt.

Method Description
From Purchase Invoice Creates a Purchase Receipt linked to an existing Purchase Invoice and automatically fills the item details.
From List View Creates a standalone Purchase Receipt without linking it to a Purchase Invoice.

Create from a Purchase Invoice

After submitting a Purchase Invoice, you can generate a Purchase Receipt directly from it.

  1. Open the submitted Purchase Invoice.
  2. Click Create → Purchase Receipt.
  3. The Purchase Receipt is automatically created with all item details copied from the invoice.
  4. Save and Submit the document.

Back Reference

Purchase Receipts created from a Purchase Invoice remain linked to the original invoice, making it easy to track all receipts related to that purchase.

Create from the List View

You can also create a Purchase Receipt manually.

  1. Navigate to Inventory → Purchase Receipt.
  2. Click the + button.
  3. Enter the supplier, items, quantities, locations, and other required details.
  4. Save and Submit the document.

Note

Purchase Receipts created from the List View are standalone records and are not linked to any Purchase Invoice.

Purchase Receipt Form

If the Purchase Receipt is created from a Purchase Invoice, item details are filled automatically. Otherwise, you must manually enter all required information before submitting the document.

Purchase Receipt Status

Status Description
Submitted The Purchase Receipt has been successfully submitted.
Return The document is a Purchase Receipt Return.
Return Issued A return has been created against the Purchase Receipt.
Cancelled The Purchase Receipt has been cancelled.

Purchase Receipt Return

If goods received from a supplier need to be returned, you can create a Purchase Receipt Return to reverse the inventory movement.

Enable Stock Returns

Before creating returns, enable the Stock Returns feature from:

Navigation: Setup → Settings → Inventory → Enable Stock Returns

Create a Purchase Receipt Return

  1. Open the submitted Purchase Receipt.
  2. Select Create → Return.
  3. The supplier and item details are automatically copied from the original Purchase Receipt.
  4. Adjust the quantity of items being returned.
  5. Save and Submit the return.

Information

Returned item quantities and payment values are recorded as negative values to indicate a stock return.

General Ledger Impact

Submitting a Purchase Receipt Return automatically creates General Ledger entries that reverse the accounting impact of the original Purchase Receipt.

View Ledger Entries

Once a Purchase Receipt is submitted, Frappe Books generates both inventory and accounting records.

  • Stock Ledger records the inventory movement.
  • General Ledger records the corresponding accounting entries.

To review these entries, open the Purchase Receipt and select the required ledger from the View menu.

Best Practices

  • Create Purchase Receipts only after goods have been physically received.
  • Whenever possible, generate Purchase Receipts directly from Purchase Invoices to maintain document traceability.
  • Use Purchase Receipt Returns instead of cancelling completed receipts when returning goods to suppliers.
  • Review both Stock Ledger and General Ledger entries after submission to verify inventory and accounting records.
