Web Form Settings

The Settings tab provides several options to control how users access, submit, edit, and interact with a Web Form.

Tip:

Choose the appropriate combination of settings based on whether your form is intended for public users, authenticated users, or invitation-based access.

General Settings

Login Required

Enable Login Required if only authenticated users should be allowed to submit the Web Form.

If this option is disabled, both guest users and logged-in users can access and submit the form.

Note:

Enabling Login Required makes the following options available:

  • Allow Multiple Responses
  • Allow Editing After Submit
  • Allow Delete
  • Allow Comments
  • Show Attachments
  • Show List

Key Required

Enable Key Required when the form should only be accessed using a secure request key generated through a Web Form Request.

This is useful for private surveys, invitations, or other workflows where users should not have unrestricted access to the form.

If both Key Required and Login Required are enabled, users must be logged in and provide a valid request key.

Allow Multiple Responses

Allows users to submit the Web Form multiple times.

Submitted responses are available through the Web Form List View.

Tip:

Enabling this option automatically enables the Show List setting in the List Settings section.

Allow Editing After Submit

Allows users to edit their submitted responses after the initial submission.

Allow Delete

Allows users to delete their own submitted responses directly from the Web Form List View.

Anonymous

Stores submitted responses anonymously without associating them with a specific user.

Apply Document Permission

By default, users with read permission may see documents submitted by other users in the Web Form List View.

When Apply Document Permission is enabled, document permission rules are enforced before allowing users to open records.

Enable this option to ensure document access follows your configured permission rules.

Allow Print

Adds a Print button when viewing a submitted Web Form, allowing users to print the document.

Allow Comments

Displays a comments section below the Web Form where users can communicate about the submitted document.

All comments are linked to the associated document.

Show Attachments

Displays all files attached to the submitted document within the Web Form.

Maximum Attachment Size (MB)

Limits the maximum file size that users can upload as attachments.

Allow Incomplete Forms

Allows users to submit the form even when mandatory fields have not been completed.

Note:

Enable this option only when incomplete submissions are acceptable for your business process.

List Settings

The List Settings section controls how submitted Web Forms are displayed to users.

Show List

Enables a List View that displays submitted Web Forms.

By default, users can only open forms that they own.

If Apply Document Permission is enabled, users may also access other records based on their document permissions.

Title and List Columns

You can customize the List View by:

  • Changing the list title.
  • Adding or removing columns.
  • Reordering displayed columns.
Tip:

Display only the most relevant columns to keep the List View clean and easy to navigate.

Sidebar Settings

Show Sidebar

Enable Show Sidebar to display the Web Form alongside a website sidebar.

You can select an existing website sidebar or create a new one containing links to related Web Forms, portal pages, or other website content.

Using a sidebar improves navigation by providing quick access to related forms and pages.
