Manage Tasks
Tasks help you organize and track the actions required to move leads and deals forward. Whether it’s following up with a prospect, scheduling a demo, sending a proposal, or preparing for a meeting, tasks ensure every important activity has an owner and a deadline.
Tasks are linked directly to leads and deals, so your entire sales process stays organized and all follow-up activities remain connected to the relevant opportunity.
Tip
Assign every important follow-up as a task with a due date. This helps your team stay accountable and ensures opportunities don’t stall because of missed actions.
View All Tasks
Open Tasks from the sidebar to view every task across your CRM.
Each task displays important information, including:
- Task title
- Status
- Priority
- Due date
- Assigned user
Use filters to quickly find tasks based on:
- Assignee
- Status
- Priority
- Due date
Filtering helps you focus on overdue work, upcoming deadlines, or tasks assigned to specific team members.
Create a Task
Tasks can be created directly from a lead or deal to keep follow-up activities linked to the appropriate sales opportunity.
- Open a lead or deal.
- Select the Tasks tab.
- Click + New Task.
- Enter the task details.
- Save the task.
The task becomes part of that lead or deal and can be managed from both the record and the global Tasks view.
Task Details
Each task includes the following information:
- Title — A short description of the work to be completed.
- Description — Additional instructions or context.
- Status — Backlog, To Do, In Progress, Done, or Cancelled.
- Assignee — The team member responsible for completing the task.
- Due Date — The deadline for completing the task.
- Priority — High, Medium, or Low.
Task Statuses
Use task statuses to track progress throughout the lifecycle of a task.
- Backlog — Planned work that has not started.
- To Do — Ready to begin.
- In Progress — Currently being worked on.
- Done — Successfully completed.
- Cancelled — No longer required.
Recommended Workflow
Move tasks through their statuses as work progresses. Keeping task statuses up to date provides better visibility into team workload and helps managers identify pending follow-ups.
Task Reminders
Frappe CRM automatically reminds assignees about upcoming deadlines.
Reminder notifications are sent:
- Once per day starting one day before the due date.
- Again one hour before the task is due.
Reminders are delivered through:
- In-app notifications
- Email notifications
These reminders help ensure important follow-up activities are completed on time.
Best Practices
- Create tasks immediately after meetings or customer conversations.
- Assign every task to a specific team member.
- Use realistic due dates and appropriate priority levels.
- Keep task descriptions clear and actionable.
- Update task status regularly so your team always knows what’s pending.
- Complete or cancel outdated tasks to keep your task list organized.
Note
Tasks created within a lead or deal remain linked to that specific record. This keeps every follow-up activity organized alongside the customer and opportunity it relates to.
