Manage Leads

A Lead represents a person or organization that has shown interest in your product or service but has not yet become a customer. Leads can originate from website forms, marketing campaigns, referrals, events, or manual entry. Managing leads effectively helps your sales team qualify prospects before converting them into opportunities.

Tip

Keep lead information updated throughout the qualification process. Complete and accurate records help your team collaborate and improve conversion rates.

View Your Leads

Open Leads from the sidebar to view all leads in your CRM.

The Leads list provides an overview of important information, including:

  • Lead name
  • Organization
  • Status
  • Email address
  • Phone number
  • Assigned user
  • Last updated time

You can search, filter, and sort the list to quickly find specific leads.

Available Views

Frappe CRM offers two ways to visualize your leads:

  • List View — Best for reviewing detailed information and managing large numbers of leads.
  • Kanban View — Organizes leads by status, making it easy to track progress through your sales process.

Create a Lead

  1. Open Leads.
  2. Click + Create in the upper-right corner.
  3. Enter the lead details.
  4. Save the record.

Capture Leads Automatically

In addition to manual creation, Frappe CRM supports multiple methods for importing leads automatically.

Common lead sources include:

  • Website forms
  • Facebook and Instagram Lead Ads
  • Excel or CSV imports
  • Custom integrations using scripts or APIs

Work with a Lead

Opening a lead displays all related information and activities in a single workspace.

Lead Information

The details panel lets you view and edit important information, including:

  • Name
  • Email address
  • Phone number
  • Organization
  • Job title
  • Lead source
  • Industry
  • Lead owner

Most fields can be edited directly without leaving the page.

Activity Tabs

The activity panel keeps all lead interactions organized in one place.

  • Activity — Complete timeline of emails, comments, calls, and field updates.
  • Emails — Send and receive emails without leaving the lead.
  • Comments — Collaborate with teammates and leave internal notes.
  • Data — Additional fields and lead information.
  • Calls — View and record call history.
  • Tasks — Create and manage follow-up activities.
  • Notes — Store private notes that are separate from the activity timeline.
  • Attachments — Upload documents and other supporting files.

Manage Lead Statuses

Each lead has a status that reflects its current stage in the qualification process.

Frappe CRM includes several predefined statuses, but administrators can create additional ones to match their sales workflow.

Add a Custom Lead Status

  1. Open the Desk interface.
  2. Search for CRM Lead Status.
  3. Create a new status.
  4. Select the appropriate status type.
  5. Save the record.

The new status becomes available immediately in the CRM frontend.

Best Practice

Use meaningful lead statuses that clearly represent each stage of your qualification process. A consistent workflow makes reporting and pipeline tracking more accurate.

Convert a Lead into a Deal

Once a lead has been qualified, you can convert it into a deal and move it into your sales pipeline.

  1. Open the qualified lead.
  2. Click Convert to Deal.
  3. Create a new contact and organization, or link existing records.
  4. Select the initial deal status.
  5. Complete the conversion.

After conversion, the lead becomes a deal and continues through your sales pipeline while preserving its associated information.

Best Practices

  • Record every interaction with a lead to maintain a complete history.
  • Assign ownership so every lead has a responsible salesperson.
  • Use tasks and reminders to ensure timely follow-ups.
  • Update lead statuses regularly to keep your pipeline accurate.
  • Convert leads only after they have been properly qualified.
