Manage Deals
A Deal represents a qualified sales opportunity that your team is actively working to close. Deals are typically created by converting qualified leads, but they can also be created manually to manage opportunities such as upsells, cross-sells, and renewals for existing customers.
Tip
Use Deals to track every stage of your sales pipeline from the first qualified opportunity through successful closure or loss while keeping all communication and sales activities in one place.
View Your Deals
Open Deals from the sidebar to view all active opportunities.
Each deal displays important information such as:
- Organization
- Deal value
- Status
- Email address
- Phone number
- Assigned owner
- Last updated date and time
You can search, filter, sort, and switch between different views to manage your sales pipeline efficiently.
Available Views
- List View — Best for reviewing deal details and managing large pipelines.
- Kanban View — Organize deals by status and move opportunities through your sales pipeline using drag and drop.
Create a Deal
- Open Deals.
- Click + Create.
- Enter the required deal information.
- Save the record.
Work with a Deal
Opening a deal provides a complete workspace for managing the opportunity, including customer information, sales activities, products, and forecasting.
Deal Information
The right panel contains three primary sections.
Contacts
Unlike a lead, a deal can be associated with multiple contacts.
- The primary contact is automatically created when a lead is converted.
- Additional contacts can be added at any time using the + button.
Forecasted Sales
When forecasting is enabled, this section allows you to track expected revenue.
- Expected closing date
- Probability of closing
- Expected deal value
If Auto Update Expected Deal Value is enabled, the expected value is calculated automatically from the products added to the deal.
Organization Details
Displays information about the organization associated with the opportunity, including:
- Organization name
- Website
- Territory
- Annual revenue
- Deal owner
Activity Tabs
The activity panel keeps all interactions related to the deal organized in one place.
- Activity — Complete history of emails, calls, comments, and updates.
- Emails — Send and receive emails directly from the deal.
- Comments — Collaborate with teammates using internal comments.
- Data — View and edit deal fields, including the Products table.
- Calls — View call history and recordings.
- Tasks — Create and manage follow-up tasks.
- Notes — Store additional information and observations.
- Attachments — Upload contracts, proposals, quotations, and supporting documents.
Manage Products
The Products table in the Data tab lets you track the products or services included in the opportunity.
Each product can include:
- Product or service
- Quantity
- Rate
- Discount
The table automatically calculates totals and net totals based on the entered values.
You can also customize the visible columns by clicking the settings icon in the table header.
Manage Deal Statuses
Deal statuses represent the current stage of an opportunity in your sales pipeline.
Frappe CRM includes several default statuses, and administrators can create additional statuses to match their sales process.
Add a Custom Deal Status
- Open the Desk interface.
- Search for CRM Deal Status.
- Create a new status.
- Select the appropriate status type.
- Save the record.
The newly created status becomes available immediately in the CRM frontend.
Best Practice
Use meaningful deal stages that accurately reflect your sales process. Consistent statuses improve reporting, forecasting, and pipeline visibility.
Information Carried Over from a Lead
When you convert a lead into a deal, Frappe CRM preserves all important information.
The following data is automatically transferred:
- Email history
- Comments
- Call history
- Activity timeline
- Primary contact
- Organization information
The organization linked to the lead becomes the deal name, ensuring continuity throughout the sales process.
Enable Sales Forecasting
Forecasting helps your team estimate future revenue based on active opportunities.
- Go to Settings → Dashboard.
- Enable Enable Forecasting.
- Optionally enable Auto Update Expected Deal Value.
Once forecasting is enabled:
- Expected Closing Date becomes mandatory.
- Expected Deal Value becomes mandatory.
- The Forecasted Sales section appears on every deal.
Tip
Automatically calculating the expected deal value from the Products table helps maintain consistent forecasting across your sales pipeline.
Mark a Deal as Lost
If an opportunity cannot be closed successfully, update its status to Lost.
When you do so, Frappe CRM prompts you to record:
- Lost reason
- Additional notes
Capturing this information helps identify common reasons for lost opportunities and provides valuable insights for improving your sales process.
Best Practices
- Keep deal information updated throughout the sales cycle.
- Link all relevant contacts to improve collaboration.
- Add products early to maintain accurate revenue forecasts.
- Record every interaction using activities, tasks, and comments.
- Always provide a lost reason when closing unsuccessful opportunities.
