Public Views
Public Views are shared versions of Saved Views that are available to every CRM user. They allow teams to use the same filters, sorting, and columns, ensuring everyone works with a consistent view of their data.
Instead of each user creating their own list configuration, Sales Managers and Admins can create Public Views that everyone can access from the sidebar.
Note
A Public View starts as a regular Saved View. Once it is made public, it becomes available to all users in the CRM.
Why Use Public Views?
Public Views help teams work from the same list configuration, making it easier to track important records and maintain consistency across the sales process.
They are useful for:
- Standardizing how teams view leads and deals.
- Providing quick access to commonly used reports.
- Reducing the need for every user to recreate identical filters.
- Keeping everyone focused on the same business priorities.
Common Use Cases
Organizations often create Public Views for:
- Leads from a specific source or marketing campaign.
- Deals belonging to a particular industry or territory.
- High-value opportunities that require immediate attention.
- Open deals closing this month.
- Customers requiring follow-up.
Team Collaboration
Using shared views ensures everyone is looking at the same information, making meetings, reporting, and pipeline reviews more consistent.
Who Can Create Public Views?
Only users with the following roles can create or manage Public Views:
- Sales Manager
- Admin
Restricting this permission helps maintain consistent, organization-wide views and prevents unnecessary clutter.
Create a Public View
Before creating a Public View, you must already have a Saved View.
- Create or open an existing Saved View.
- Open the List view dropdown.
- Hover over the Saved View you want to share.
- Click the three-dot menu.
- Select Make Public.
The view immediately becomes available to all users and appears under the Public Views section.
Access Public Views
Once a view has been shared, every user can:
- Open it from the Public Views section.
- Use the predefined filters, sorting, and columns.
- Quickly switch between multiple shared views.
Make a Public View Private
You can change a Public View back to a private Saved View at any time.
- Open the List dropdown.
- Locate the Public View.
- Click the three-dot menu.
- Select Make Private.
Once reverted, the view is no longer visible to other users and becomes a personal Saved View again.
Best Practices
- Create Public Views only for layouts that benefit the entire team.
- Use clear, descriptive names so users can easily identify each view.
- Review Public Views periodically and remove outdated ones.
- Keep filters focused on common business workflows instead of individual user preferences.
