Manage the Sales Hierarchy

The Sales Hierarchy helps you organize your sales team into a reporting structure. Once configured, managers automatically gain visibility into the leads and deals owned by everyone reporting to them, while sales users continue to see only the records they own.

Permission Required

Only users with the Admin role can create or modify the Sales Hierarchy. Other users can view the hierarchy in read-only mode.

Enable the Sales Hierarchy

  1. Go to Settings → User Management.
  2. Click Enable to activate the Sales Hierarchy.

After enabling the hierarchy:

  • Sales Managers can view leads and deals assigned to themselves and all users beneath them in the reporting tree.
  • Sales Users can view only the leads and deals they own.

Important

  • A Sales Manager cannot report directly to a Sales User.
  • A Sales Manager with direct reports cannot be changed to a Sales User from the CRM frontend.

Add Users to the Hierarchy

  1. Click Add User in the upper-right corner.
  2. Select the users you want to include.
  3. The selected users are added as top-level members of the hierarchy.

Add Direct Reports

To build the reporting structure:

  1. Locate the manager in the hierarchy.
  2. Click the + icon next to the manager.
  3. Select one or more users to report directly to that manager.

You can assign multiple users at once, making it easy to build or reorganize larger sales teams.

Remove Users from the Hierarchy

Frappe CRM provides different removal options depending on whether the user manages other team members.

Delete

Use Delete when the user has no direct reports.

  • Removes only the selected user from the hierarchy.
  • Available only if no one reports to that user.

Reassign and Remove

Use this option when the user has direct reports that should remain in the hierarchy.

  • Moves all direct reports to the user’s manager.
  • Removes the selected user from the hierarchy.

Remove with Reports

Use this option when an entire branch of the hierarchy should be removed.

  • Removes the selected user.
  • Removes everyone reporting to that user.

Tip

Use Reassign and Remove when employees leave the organization to preserve the reporting structure without rebuilding it manually.

Manage Reporting Relationships

Move Users

You can quickly reorganize your sales team by dragging and dropping users to a different manager.

This updates the reporting relationship without removing and recreating users.

Move a Manager to the Top Level

Managers who currently report to another manager can be promoted to the top level of the hierarchy.

When moved, all of their existing direct reports remain attached to them.

Best Practices

  • Create the hierarchy before assigning large numbers of leads and deals.
  • Keep reporting relationships up to date when team members join, leave, or change roles.
  • Use drag-and-drop to reorganize teams instead of deleting and recreating users.
  • Review the hierarchy periodically to ensure managers have the correct visibility.

How Visibility Works

The Sales Hierarchy controls record visibility within Frappe CRM. Managers automatically inherit access to records owned by users below them in the reporting tree, making it easier to monitor team performance while maintaining appropriate access controls.
