Email Templates

Email Templates help you save time by creating reusable email messages for common customer interactions. Instead of writing the same email repeatedly, you can create templates for introductions, follow-ups, meeting confirmations, proposals, or any other frequently used communication.

Templates also support Jinja variables, allowing you to automatically personalize emails with information from the lead or deal, such as names, organizations, and other record details.

Create templates for emails your sales team sends regularly. This ensures faster communication while maintaining consistent messaging across your organization.

Create an Email Template

To create a reusable email template:

  1. Go to Settings > Templates.
  2. Click Create.
  3. Enter the template details.
  4. Save the template.

Template Fields

Each email template includes the following fields:

  • Name — An internal name used to identify the template.
  • Subject — The email subject line. Jinja variables can be used for dynamic values.
  • For — Specify whether the template is intended for Leads or Deals.
  • Content Type — Choose between:
    • Rich Text for formatted email content.
    • HTML for fully customized email layouts.

Enable or Disable Templates

Only templates marked as Enabled are available when composing emails.

Use the enable/disable toggle to control whether a template is available to users without deleting it.

Template Management

Disable outdated templates instead of deleting them. This helps preserve existing content while preventing users from selecting templates that are no longer relevant.

Use an Email Template

Email templates can be inserted while composing emails from a lead or deal.

  1. Open a lead or deal.
  2. Go to the Emails tab.
  3. Click Reply or compose a new email.
  4. Click the Email Template button.
  5. Select the required template.

The template content is automatically inserted into the email editor.

You can modify the subject or message before sending, allowing you to personalize the email for the specific customer while still benefiting from the reusable template.

Personalize Templates with Jinja

Email templates support Jinja templating, making it possible to insert dynamic values from the associated lead or deal.

This allows emails to automatically include customer-specific information without manual editing each time.

Common uses include:

  • Customer names
  • Organization names
  • Deal information
  • Assigned sales representative details
  • Other fields available in the record

Common Template Examples

Many teams create templates for recurring communications such as:

  • First response to a new inquiry.
  • Follow-up after a meeting or product demo.
  • Proposal or quotation emails.
  • Trial reminder emails.
  • Meeting confirmations.
  • Renewal reminders.
  • Thank-you emails after successful deals.

Best Practices

  • Create separate templates for different stages of your sales process.
  • Use descriptive template names so they are easy to identify.
  • Include Jinja variables to personalize emails automatically.
  • Review templates regularly to keep messaging accurate and up to date.
  • Personalize the final email before sending instead of relying entirely on the template.

Note

Selecting an email template inserts its content into the email editor. You can freely edit the subject and body before sending, allowing every message to be tailored to the recipient while maintaining a consistent communication style.
