Assignment Rules

Assignment Rules automatically assign Leads and Deals to the appropriate sales representatives based on conditions you define. Instead of assigning records manually, Frappe CRM distributes work according to your routing rules, ensuring faster response times and balanced workloads.

Assignment Rules help standardize lead distribution, reduce manual effort, and ensure every new opportunity reaches the right person at the right time.

Tip

Use Assignment Rules to automatically route leads based on territory, source, industry, or any other field, ensuring the most suitable salesperson receives each opportunity.

Create an Assignment Rule

To create a new Assignment Rule:

  1. Go to Settings > Assignment Rules.
  2. Click + New.
  3. Configure the assignment criteria.
  4. Choose the users who should receive assignments.
  5. Save the rule.

Assignment Rule Configuration

Each Assignment Rule consists of several configuration options.

General Information

  • Name — A descriptive name used to identify the rule.
  • Description — A short explanation of the rule’s purpose.
  • Apply For — Specify whether the rule applies to Leads or Deals.

Assignment Conditions

Define when the rule should automatically assign records.

  • Assignment Condition — Create one or more conditions using the condition builder.
  • Users — Select the sales representatives who are eligible to receive assignments.

Only records matching the configured conditions will be processed by the assignment rule.

Assignment Methods

Frappe CRM provides two assignment strategies.

Auto-Rotate

Automatically distributes Leads or Deals evenly among the selected users using a round-robin approach. Each user receives one assignment before the cycle repeats.

Assign by Workload

Assigns new records to the user with the lowest current workload, helping maintain a balanced distribution across the sales team.

Flexible Routing

You can create multiple Assignment Rules for different business scenarios, such as assigning enterprise leads to senior sales representatives, routing regional inquiries to local teams, or distributing website leads separately from referral leads.

Additional Options

Unassignment Condition

Configure conditions that automatically remove an assignment when specific criteria are met. Complex nested conditions are supported for advanced workflows.

Assignment Schedule

Specify the days on which the Assignment Rule should remain active. Outside the configured schedule, the rule will not assign records.

Note

Assignment Rules only process records that satisfy the configured conditions. If multiple rules could apply, carefully review their conditions to avoid unintended assignments.
