Job Applicant in Frappe HR: Managing Candidates & the Hiring Pipeline
A Job Applicant is the record of a candidate who has applied for a job opening. It holds their details and resume, tracks their status as they move through the hiring pipeline, and links into the interviews and job offer that follow.
You will find it under Home > Human Resources > Recruitment > Job Applicant.
How applicants are created
Applicant records are created automatically when someone applies through a published Job Opening on your careers page. You can also add them manually for candidates who reached you by referral, walk-in, or email.
BEFORE YOU START
For applications to flow in automatically, have a published Job Opening in place. To add applicants by hand, you just need their basic details and the opening they’re applying for.
How to create a Job Applicant manually
- Open the Job Applicant list and click New.
- Enter the Applicant Name, Email Address, and Phone.
- Link the Job Title (the Job Opening) and the Designation.
- Set the Status (such as Open, Replied, Hold, Rejected, or Accepted).
- Attach the Resume and add a Cover Letter if available.
- Record the Source (Website Listing, Walk In, Reference, Campaign, and so on).
- Save.
Tracking candidates through the pipeline
The Status field is what makes the applicant list a working pipeline moving each candidate from Open through to Accepted or Rejected as they progress. Recording the Source on each applicant also tells you which channels your careers page, referrals, campaigns actually bring in candidates, which is useful for focusing your hiring effort.
From applicant to interview and offer
A Job Applicant is the anchor for the rest of the hiring process. You can schedule Interviews against the applicant and, once they’re selected, create a Job Offer directly from their record so the candidate’s whole journey stays connected in one place.
TIP
Keep each applicant’s status current as they move along. An up-to-date pipeline lets you see at a glance who’s waiting on an interview, who needs a decision, and where candidates are dropping off without chasing the information across emails.
