Payroll Entry in Frappe HR: Running Payroll for Many Employees

A Payroll Entry runs payroll for a group of employees at once. Rather than creating a salary slip per person, you set the period and filters, generate everyone’s slips together, submit them, and then book the accounting and bank payment the standard way to run a monthly payroll.

You will find it under Home > Human Resources > Payroll > Payroll Entry.

BEFORE YOU START

Make sure the employees you’ll pay have current Salary Structure Assignments, and that your Company, payment accounts, and (for tax) Payroll Period and Income Tax Slab are set up.

How to run a Payroll Entry

  1. Open the Payroll Entry list and click New.
  2. Select the Company and Payroll Frequency, and set the Start Date, End Date, and Posting Date.
  3. Apply filters (department, branch, designation) and use Get Employees to load everyone who should be paid.
  4. Review the employee list, then Create Salary Slips.
  5. Submit the salary slips once you’ve checked them.
  6. Book the payment create the bank/accounting entry for the net pay.

What Payroll Entry does for you

The whole value here is doing payroll in bulk and in sequence: it pulls the right employees, generates each one’s salary slip from their assigned structure, lets you review before committing, and then handles the accounting and bank payment for the batch. A run that would be hours of individual work becomes a guided, repeatable process.

NOTE

If an employee is missing from the loaded list, it’s almost always because they have no current Salary Structure Assignment for the period. Fix the assignment, then re-run Get Employees rather than adding them manually.

TIP

Always review the generated salary slips before submitting the batch. Catching a wrong base, a missing assignment, or an attendance issue at this stage is far easier than reversing submitted slips and bank entries afterwards.

SUMMARY

A Payroll Entry runs payroll for many employees at once. Set the company, payroll frequency, dates, and filters, use Get Employees to load who should be paid, create their salary slips, review and submit them, then book the bank and accounting entries. It generates each slip from the employee’s assigned structure and handles the batch’s accounting in sequence. Employees missing from the list usually lack a current Salary Structure Assignment and reviewing slips before submitting saves costly reversals.
