Vehicle in Frappe HR: Recording Your Fleet
A Vehicle is the master record for each vehicle in your company’s fleet. It holds the registration, technical, and insurance details for a vehicle, and is the foundation for tracking trips, fuel, and expenses through Vehicle Logs.
You will find it under Home > Human Resources > Fleet Management > Vehicle.
BEFORE YOU START
Have the vehicle’s details to hand registration, make and model, odometer reading, fuel type, and insurance information.
How to create a Vehicle
- Open the Vehicle list and click New.
- Enter the License Plate, Make, and Model.
- Record the last Odometer Value, the Acquisition Date, and the Fuel Type (with its unit of measure).
- Add the insurance details insurer, policy number, and validity dates.
- Optionally assign the vehicle to an Employee and record extra details like chassis number, value, wheels, and doors.
- Save.
What the record holds
The Vehicle master keeps the key facts about each vehicle in one place, its registration, fuel type, insurance, and current odometer. That makes it easy to see, for any vehicle, when its insurance expires or how far it has run, without digging through paperwork.
Vehicles and logs
The real tracking happens through Vehicle Logs, which record trips, odometer readings, fuel fills, and service against a vehicle. The Vehicle master is what those logs attach to so create the vehicle first, then log activity against it over time.
TIP
Keep the insurance validity dates accurate on every vehicle. With them recorded, you have a single reliable place to check renewals and you avoid the costly surprise of a vehicle running on lapsed insurance.
