Job Requisition in Frappe HR: Requesting Approval to Hire

A Job Requisition is a formal request to fill a position, raised by a department or manager and sent to HR for approval. It’s the step that comes before advertising a role capturing what’s needed and why, and getting sign-off, so recruitment only starts on approved, justified positions.

You will find it under Home > Human Resources > Recruitment > Job Requisition.

BEFORE YOU START

Have the relevant Designation and Department set up, and know who will approve the requisition.

How to create a Job Requisition

  1. Open the Job Requisition list and click New.
  2. Select the Designation and Department for the role.
  3. Enter the Number of Positions required and the Expected By date.
  4. State the Reason for Requisition for example a new position or a replacement.
  5. Add a Description with the required qualifications and experience, and note who Requested it.
  6. Select the approver, then Save and Submit.

New position vs replacement

The reason for the requisition matters: a brand-new role adds to headcount and should line up with your Staffing Plan, while a replacement fills a seat someone has vacated. Capturing this up front helps approvers judge the request quickly and keeps headcount decisions transparent.

From approval to a Job Opening

A submitted requisition goes through approval once approved, it becomes the basis for a Job Opening that advertises the role and starts attracting applicants. That way every opening traces back to a justified, signed-off request.

Write a clear description with the real qualifications and experience needed on the requisition itself. It speeds up approval, and that same detail flows naturally into the Job Opening so you’re not rewriting the role from scratch later.
