Leave Application in Frappe HR: Requesting and Approving Leave

A Leave Application is the document an employee submits to request time off. It records the leave type and dates, checks the request against the employee’s balance, and routes it to a leave approver for sign-off the everyday transaction at the heart of leave management.

You will find it under Home > Human Resources > Leaves > Leave Application.

BEFORE YOU START

Make sure these are in place: the Employee, the Leave Type being requested, a Leave Allocation giving the employee a balance for that type, and a Leave Approver to approve the request.

How to create a Leave Application

  1. Open the Leave Application list and click New.
  2. Select the Employee.
  3. Select the Leave Type.
  4. Set the From Date and To Date for the leave.
  5. For a half day, tick Half Day and choose the half-day date.
  6. Select the Leave Approver.
  7. Add the Reason for the leave.
  8. Save, then Submit.

Balance and total days

As you fill in the dates, Frappe HR shows the Total Leave Days for the request and the leave balance before application, so both the employee and approver can see at a glance whether there’s enough balance. Holidays and weekly offs that fall within the range are handled according to the leave type’s settings, so the day count reflects actual leave taken.

COMMON MISTAKE

You generally can’t apply for more leaves than the balance allows. If an application is blocked for insufficient balance, check the Leave Allocation or, if your policy permits it, the Allow Negative Balance setting on that Leave Type. Don’t work around it by changing dates.

The approval workflow

A submitted application sits as Open until the leave approver acts on it, moving it to Approved or Rejected. The leave approver can be set on the Employee record or at the Department level, and Frappe HR can notify the approver so requests don’t sit unseen. Approved leave then reflects in the employee’s balance and feeds attendance and payroll.

TIP

Set leave approvers up front on each Employee or per Department so every application has a clear owner the moment it’s submitted. It’s the single biggest thing that keeps leave requests from getting stuck.
