Setup in Frappe HR: Creating the Masters for Every HR Activity

Frappe HR has a setup process where you create the masters for all the major activities — the organisation records, leave configuration, payroll, and recruitment that everything else builds on. Getting these in place first means the day-to-day work, from adding employees to running payroll, simply slots into a foundation that’s already there.

Organization Setup

Before you can set up your Employee master, create the building blocks of your organisation:

  • Employment Type: such as Permanent, Temporary, Contractor, or Intern.
  • Branch: if you operate from more than one office.
  • Department: such as Accounting or Sales, if you use them.
  • Designation: such as CEO or Sales Manager.
  • Grade: A, B, C, and so on, usually based on seniority.

With these masters and your global HR Settings configured, the Employee record has everything it needs to reference.

Leave Setup

To set up leaves, create:

  • Leave Type – such as Sick Leave or Travel Leave.
  • Holiday List – the annual holidays for the year. These days are not counted in Leave Applications.
  • Leave Policy – to effectively track and manage employee leaves across the company.

Payroll (Salary) Setup

In Frappe HR, salaries are made up of two kinds of components: earnings (basic salary and company-paid expenses like telephone bills or travel allowance) and deductions (amounts taken for taxes, social security, and the like). You create salary structures and assign them to employees, and Frappe HR handles most of the payroll processing for you.

If you want Frappe HR to calculate income tax deductions automatically across multiple salary slabs, set up your Income Tax Slabs so the tax is computed and spread correctly.

Recruitment

It’s important for organisations to plan their hiring for future periods. Frappe HR lets you define recruitment plans at the group company level, and subsidiary companies can create and publish job openings based on those group plans keeping the hiring process easy to manage across a group.

With an active Staffing Plan, every time you create a new Job Opening, Frappe HR validates the open positions and current employment count against the plan, so hiring stays within what was planned and budgeted.

Work through these four areas in order organisation, leaves, payroll, then recruitment before bringing employees on board. Each later activity leans on the masters from the earlier steps, so setting them up first saves backtracking once you’re live.
