Employee Onboarding Template in Frappe HR: Reusable Onboarding Checklists

An Employee Onboarding Template is a reusable list of the activities a new hire must go through. Build it once, and every Employee Onboarding that uses it generates the same complete checklist so your joining process is consistent no matter who’s running it.

BEFORE YOU START

Decide the standard onboarding steps for your organisation (or for a particular role), and who owns each one, so the template reflects how you actually onboard people.

How to create an Employee Onboarding Template

  1. Open the Employee Onboarding Template list and click New.
  2. Enter a name, and optionally set a Designation or Department so the template fits a specific role.
  3. In the Activities table, add each onboarding step: the Activity Name, the User or Role responsible, and timing such as Begin On and Duration (in days).
  4. Save.

The activities table

Each row is one onboarding task, “Set up email account”, “Collect documents”, “Issue ID card” with an owner and a timeline. When the template is applied in an Employee Onboarding, these rows become the activities tracked for the new hire, each assigned to the right person and scheduled around their joining date.

Reusing the template

Because the template is reusable, you can keep role-specific versions a general staff template, a sales template, an engineering template each tuned to what those joiners need. The right template loads automatically into onboarding, so the checklist always matches the role.

TIP

Assign each activity to a role rather than a named person where you can “IT” or “HR Manager” instead of one individual. The template then keeps working even when people change jobs, with no need to edit owners every time.
