Employee Separation in Frappe HR: Managing Employee Offboarding

Employee Separation manages the process of an employee leaving the organisation. It generates a checklist of offboarding activities exit interview, asset return, access revocation, final settlement and tracks them to completion, so an employee’s departure is handled properly and nothing is left open.

You will find it under Home > Human Resources > Employee Lifecycle > Employee Separation.

BEFORE YOU START

You’ll need the Employee who is leaving and an Employee Separation Template (the reusable list of offboarding activities).

How to create an Employee Separation

  1. Open the Employee Separation list and click New.
  2. Select the Employee, their company, department, and designation are picked up automatically.
  3. Set the relevant dates, such as the resignation/relieving date and when the separation process begins.
  4. Select the Employee Separation Template, its activities load into the separation.
  5. Record details like the Exit Interview Summary as the process runs.
  6. Save, then Submit.

Activities and tracking

The separation’s activities come from the template each with an owner and timing. As they’re completed, the separation tracks progress, so you can see exactly which exit steps are done and which still need attention before the employee’s last day.

Closing out the employee

Employee Separation ties the whole exit together, from the exit interview through to clearing assets and access. Once the process is complete, the employee can be marked as left/relieved, so their status is accurate and they’re no longer treated as active in attendance, payroll, and reporting.

TIP

Build the genuine exit steps into your separation template asset return, system access revocation, final settlement, knowledge handover each with the right owner. A complete template means no security or settlement step is ever forgotten when someone leaves.
