Salary Structure Assignment in Frappe HR: Linking Pay to Employees

A Salary Structure Assignment assigns a salary structure to an employee, along with their base pay and the date it takes effect. It’s the essential step between defining a structure and actually paying someone without an assignment, payroll has no structure or base to generate a salary slip from.

BEFORE YOU START

Have the Employee, a submitted Salary Structure, and for tax calculation the relevant Income Tax Slab ready.

How to create a Salary Structure Assignment

  1. Open the Salary Structure Assignment list and click New.
  2. Select the Employee and the Salary Structure.
  3. Set the From Date the date the assignment takes effect.
  4. Enter the Base (and Variable, if used) the base salary the structure’s formulas calculate from.
  5. Select the Income Tax Slab and confirm the Company.
  6. Save, then Submit.

Why the base and date matter

The Base is what formula-driven components work from “HRA is 40% of Basic” only resolves once the employee’s base is set here. The From Date means assignments are effective-dated, so a pay change is just a new assignment from the relevant date, while the old one stays as history. Payroll always uses the assignment in effect for the period being run.

NOTE

For a salary revision, create a new assignment with the new base and an effective From Date rather than editing the old one. This keeps a clean, dated salary history and ensures past payslips remain correct.

TIP

Make sure every employee who needs paying has a current Salary Structure Assignment before running payroll. A missing or unsubmitted assignment is the most common reason an employee gets skipped in a payroll run.
