Asset Maintenance

Asset Maintenance helps organizations schedule, record, and monitor maintenance activities performed on fixed assets. Regular maintenance ensures assets remain in good working condition, improves operational efficiency, and extends their useful life.

ERPNext allows you to create maintenance schedules, assign maintenance teams, track maintenance logs, and calculate future maintenance dates automatically.

To access Asset Maintenance, navigate to:

Home > Assets > Maintenance > Asset Maintenance

1. Prerequisites

Before creating an Asset Maintenance record, ensure the following are available:

 

2. Create an Asset Maintenance Record

Follow these steps to schedule maintenance for an asset:

  1. Go to Asset Maintenance.
  2. Click New.
  3. Enter the required information.

Basic Details

  • Asset: Select the asset that requires maintenance.
  • Maintenance Team: Select the team responsible for carrying out the maintenance.
  • Maintenance Type:
    • Preventive – Scheduled maintenance performed to reduce the risk of unexpected failures.
    • Calibration – Maintenance performed to restore or verify the accuracy of measuring equipment.

Schedule Details

  • Start Date: The planned start date for the maintenance activity.
  • End Date: The expected completion date.
  • Last Completion Date: Enter the actual completion date if the maintenance was completed after the scheduled date.

After entering the required information, click Save and then Submit.

Asset Maintenance is a transaction and must be submitted before the maintenance schedule becomes active.

3. Features

3.1 Asset Maintenance Log

Once the Asset Maintenance document is submitted, ERPNext automatically creates an Asset Maintenance Log.

The maintenance log helps you:

  • Track maintenance activities performed on the asset.
  • Record maintenance history for future reference.
  • Automatically calculate the next maintenance due date based on the maintenance schedule.

3.2 Maintenance ToDo

When a maintenance task is assigned to a user:

  • A ToDo is automatically created for the assigned user.
  • The task appears in the user’s ToDo list as a reminder.
  • This helps ensure scheduled maintenance activities are completed on time.
