Email Inbox

Email Inbox allows users to access and manage business emails directly inside ERPNext.

Email Inbox brings all transactional emails into ERPNext so users can manage communication without leaving the system.

Overview

ERPNext Email Inbox synchronizes emails from connected Email Accounts and displays them inside the system for each user.

This helps centralize communication with customers, suppliers, and internal teams.

Setup Requirements

1. Create a User

Email Inbox works only for system users. Each person must be added as a User with proper permissions.

2. Configure Email Domain

Email Domain stores SMTP/IMAP configuration details for email providers like Gmail or Outlook.

Supported services include Gmail, Yahoo, Outlook, SendGrid, Sparkpost, and others.

Email Domain is required before setting up Email Accounts for inbox access.

3. Create Email Account

Each user must have an Email Account linked to their email ID.

If the password is not available, the “Awaiting Password” option can be enabled so the user can enter it later.

4. Link Email Account to User

After creating the Email Account, it must be linked to the User to enable personal inbox access.

Multiple email accounts can be linked to a single user.

Using Email Inbox

Once configured, the Email Inbox icon appears in the user interface after login.

Users can view, reply, forward, and manage emails directly inside ERPNext.

  • Inbox
  • Sent
  • Spam
  • Trash

Email Actions

  • Reply
  • Forward
  • Mark as Spam
  • Move to Trash

Relinking Emails

Emails can be linked or relinked to documents like Leads, Issues, or Opportunities based on context.

This ensures all communication is connected to the correct business record for better traceability.
