A Journal Entry Template allows you to define a predefined structure of accounts and settings that can be reused while creating Journal Entries.

It helps standardize accounting entries, reduce manual effort, and ensure consistency in recurring transactions.

What is a Journal Entry Template?

A Journal Entry Template is a configuration that stores:

  • Predefined debit and credit accounts
  • Entry type settings (Bank, Cash, Opening, etc.)
  • Company and series information
  • Reusable accounting structure for faster entry creation

How to Create a Journal Entry Template

  1. Go to Journal Entry Template list and click New.
  2. Enter a Template Title (this name will appear in Journal Entry selection).
  3. Select the Company (default is Global Defaults company, but can be changed).
  4. Choose the Entry Type based on requirement.

Entry Types Supported in Template

  • Journal Entry (Default) – General accounting entry type
  • Opening Entry – Loads all Balance Sheet accounts automatically
  • Bank Entry – Auto-fetches default bank account
  • Cash Entry – Auto-fetches default cash account

If “Opening Entry” is selected, the system automatically sets “Is Opening = Yes”.

Additional Configuration Fields

  • Series: Defines naming sequence for Journal Entries
  • Is Opening: Automatically enabled for opening entries

Accounting Entries Section

This section allows you to predefine accounts that will be used in Journal Entries.

  • Add debit and credit accounts in advance
  • Set fixed or standard accounting structure
  • Ensure consistency in recurring financial entries

How to Use Journal Entry Template

  1. Go to Journal Entry and click New.
  2. In the From Template field, select the required template.
  3. The system will automatically load predefined accounts and settings.
  4. Accounting Entries table will be cleared and replaced with template data.
  5. You can still add or modify entries if needed.
