Print Heading

Print Heading allows you to customize the title that appears at the top of printed documents in ERPNext. It enables you to display alternative document names without changing the actual DocType.

Print Headings only change the title displayed on the printed document and do not affect the document type or its functionality.

This feature is useful when different customers or business processes require different document titles for the same transaction.

Access Print Heading

Navigate to:

Home → Settings → Print Heading

How to Create a Print Heading

  1. Open the Print Heading list.
  2. Click New.
  3. Enter the heading you want to display on printed documents.
  4. Save the record.

Applying a Print Heading

After creating a Print Heading:

  1. Open the required transaction.
  2. Locate the Print Heading field.
  3. Select the desired Print Heading.
  4. Print or preview the document.

The selected heading will appear at the top of the printed document instead of the default transaction title.

Common Use Cases

Print Headings are useful when the same ERPNext transaction needs to be presented differently for various business scenarios.

Examples include:

  • Quotation → Proposal
  • Quotation → Estimate
  • Quotation → Pro Forma Invoice
  • Sales Invoice → Tax Invoice
  • Purchase Order → Work Order

The same transaction can have different printed titles depending on the selected Print Heading.

Benefits of Print Headings

  • Customize document titles without creating separate Print Formats.
  • Adapt printed documents for different customers or industries.
  • Maintain consistent internal document types while using business-specific terminology.
  • Improve document presentation and communication.

Best Practices

  • Create clear and meaningful headings that match your business terminology.
  • Reuse Print Headings across multiple documents whenever applicable.
  • Use Print Headings for presentation purposes instead of duplicating transaction types.
  • Preview documents before sharing to ensure the correct heading is displayed.
