Contact in ERPNext (Detailed Guide)
A Contact represents a person in ERPNext.
A contact can be associated with entities such as Lead, Customer, Supplier, Shareholder, Sales Partner, or User. It can also exist as a standalone record without any linkage.
1. Accessing Contacts
To open the Contact list, navigate to:
Home > CRM > Sales Pipeline > Contact
2. Creating a Contact
To create a new Contact in ERPNext:
- Go to the Contact list and click New.
- Enter First Name and Last Name.
- Select the contact Status (Passive, Open to Contact, or Replied).
- Enter communication details such as Email and Phone Number.
- Click Save.
Contacts can also be created directly from Customer or Supplier records using the “New Contact” option.
3. Primary Contact Concept
When multiple contacts exist for a single entity (such as a customer or supplier), you can mark one as Is Primary Contact.
The primary contact is automatically used in transactions like Sales Orders and Sales Invoices.
Contacts can also be imported in bulk using the Data Import Tool.
4. Key Features of Contact
4.1 Linking Multiple Entities
A single contact can be linked to multiple customers or suppliers.
It is also possible to link the same contact to both customers and suppliers simultaneously, allowing flexible relationship mapping.
4.2 Contact as ERPNext User
Contacts can be invited as system users, allowing them to access a customer or supplier portal.
This enables external stakeholders to:
– View relevant transactions
– Access shared documents
– Interact through ERPNext portal
You can send an invitation using the “Invite as User” option.
