Auto Repeat

Auto Repeat allows you to automatically create recurring documents at scheduled intervals. It is useful for transactions that need to be generated repeatedly, such as Journal Entries, Sales Invoices, Purchase Invoices, or other supported documents.

From Version 12 onwards, any document type can be made repeatable by enabling the Allow Auto Repeat option through Customize Form.

1. Example

Suppose your organization follows deferred expense accounting and creates the same Journal Entry every month to transfer amounts from the Deferred Expense account to the Expense account. Instead of creating the entry manually each month, you can create the first Journal Entry and configure Auto Repeat to generate future entries automatically.

2. How to Set Up Auto Repeat

Step 1: Enable Auto Repeat for a Document Type

  1. Go to Customize Form.
  2. Select the document type you want to make repeatable.
  3. Enable the Allow Auto Repeat option.
  4. Save the customization.

After enabling this option, the document type becomes available for selection in Auto Repeat.

Step 2: Create an Auto Repeat Schedule

  1. Open Auto Repeat and create a new record.
  2. Select the Reference Document Type.
  3. Select the Reference Document to be repeated.
  4. Set the Start Date.
  5. Optionally specify an End Date.
  6. Select the repeat frequency.
  7. Save the Auto Repeat document.

If no End Date is specified, recurring documents continue to be created until Auto Repeat is disabled.

Step 3: Create Auto Repeat from a Document

You can also configure Auto Repeat directly from a document by selecting Menu → Repeat. After entering the schedule details and saving, the recurring document schedule is created automatically.

4. Features

Submit on Creation

For submittable document types, enabling Submit on Creation automatically submits newly created recurring documents after they are generated.

Email Notifications

Auto Repeat can notify recipients whenever a recurring document is created.

The notification section allows you to configure:

  • Recipients – Email addresses that receive notifications.
  • Get Contacts – Fetches contacts linked to the reference document.
  • Email Template – Uses a predefined email template.
  • Subject – Email subject.
  • Message – Email content.
  • Preview Message – Displays the email before sending.
  • Print Format – Selects the document format attached to the email.

For draft documents, ensure Allow Print for Draft is enabled in Print Settings if you want the generated document to be attached to notification emails.

Repeat on a Specific Day

For Monthly, Quarterly, Half-yearly, and Yearly schedules, recurring documents are created on the same day as the Start Date by default.

You can override this by using:

  • Repeat on Day – Creates the document on a specified day of the month.
  • Repeat on Last Day of the Month – Generates the document on the month’s final day.

Weekly Schedule

Introduced in Version 13, weekly Auto Repeat schedules allow you to select one or more weekdays on which recurring documents should be created.

Dashboard

The Auto Repeat dashboard displays upcoming schedules. If no End Date is defined, only the next scheduled execution is shown.

Sidebar Indicator

When a document is linked to an Auto Repeat schedule, its sidebar displays the configured repeat frequency. Clicking the indicator opens the associated Auto Repeat record.

Disable Auto Repeat

Disabling Auto Repeat stops future document generation and removes the link between the schedule and the reference document.
