Quality Action

A Quality Action in ERPNext is used to record and manage corrective or preventive actions taken in response to quality issues identified during inspections or customer feedback. It provides a structured process for resolving non-conformities, preventing recurring issues, and ensuring continuous quality improvement.

Quality Actions help organizations comply with quality management standards and industry regulations such as GMP, ISO 9001, ISO 14001, TSCA, and REACH by maintaining documented records of quality-related improvements.

By implementing controlled workflows for corrective and preventive actions, ERPNext reduces the likelihood of repeated quality issues and ensures that identified problems are addressed systematically.

Purpose of Quality Actions

Quality Actions can be initiated whenever a quality issue is identified through:

  • A Quality Review.
  • A Quality Feedback received from customers.

Depending on the nature of the issue, organizations can choose to initiate either a corrective action to resolve an existing problem or a preventive action to eliminate the possibility of similar issues occurring in the future.

System Purpose

Quality Actions provide a controlled workflow for documenting quality issues, proposed resolutions, implementation progress, and completion status.

Prerequisites

Before creating a Quality Action, ensure that one of the following documents already exists:

  • Quality Review
  • Quality Feedback

The Quality Action is always linked to one of these source documents so that the reason for the action is properly documented.

Types of Quality Actions

1. Corrective Action

A Corrective Action is initiated to resolve an existing quality issue that has already been identified.

Its objective is to eliminate the root cause of the problem and prevent the same issue from occurring again.

2. Preventive Action

A Preventive Action is initiated to reduce or eliminate potential quality risks before they result in actual non-conformities.

This proactive approach helps organizations strengthen quality processes and minimize future quality-related incidents.

How to Create a Quality Action

Step 1: Create a New Quality Action

Open the Quality Action list and click New.

Step 2: Select the Action Type

Choose whether the action is:

  • Corrective – To resolve an existing quality issue.
  • Preventive – To prevent a potential quality issue.

Step 3: Select the Source Document

Choose the document type that initiated the action.

Available document types include:

  • Quality Review
  • Quality Feedback

Step 4: Select the Document

After selecting the document type, choose the specific Quality Review or Quality Feedback record for which the action is being created.

Step 5: Enter the Resolution

Specify the proposed resolution or action plan that will be implemented to address the identified quality issue.

The resolution serves as the documented plan for resolving or preventing the issue.

Step 6: Save the Document

Save the Quality Action to begin tracking its implementation and completion.

Status Tracking

ERPNext tracks the progress of every Quality Action using the Status field.

Common status values include:

  • Open – The Quality Action has been created and is currently in progress.
  • Closed – The Quality Action has been completed and the issue has been resolved.
Progress Monitoring

The Status field allows organizations to monitor the lifecycle of each Quality Action from initiation through successful completion.
