Letter Head
A Letter Head contains your organization’s branding details such as the company name, logo, address, contact information, and other business details that appear at the top of printed documents in ERPNext.
Every company can have its own default Letter Head, which is automatically used when printing business documents.
Letter Heads are commonly used in documents such as Sales Orders, Sales Invoices, Purchase Orders, Salary Slips, Delivery Notes, Quotations, and other printable records.
While the Letter Head defines the document header and footer, the remaining document layout is controlled through Print Formats and Print Headings.
Access Letter Head
Navigate to:
Home → Settings → Letter Head
How to Create a Letter Head
- Open the Letter Head list.
- Click New.
- Enter a name for the Letter Head.
- Select whether the Letter Head will be created using an Image or HTML.
- Add your company details in the Header and Footer sections.
- Save the Letter Head.
You can also create multiple Letter Heads for different office locations, branches, subsidiaries, or business units.
Letter Head Components
1. Logo
Attach your company’s logo using the image upload option. After uploading the image, ERPNext automatically generates the required HTML.
2. Header Information
The header can include important business information such as:
- Company name
- Business logo
- Office address
- Phone number
- Email address
- Website
- GST, VAT, or Tax Identification Number
- Any additional company details
3. Footer Information
The footer can include details such as:
- Bank information
- Registration details
- Legal disclaimers
- Additional contact information
- Company certifications
The footer is displayed only in PDF prints and is not visible in the HTML print preview.
Image-Based vs HTML-Based Letter Head
Image-Based Letter Head
- Uses an uploaded company logo or image.
- ERPNext generates the required HTML automatically.
- Suitable for simple branding requirements.
HTML-Based Letter Head
- Provides complete control over the layout.
- Allows custom HTML and CSS formatting.
- Ideal for organizations with advanced branding requirements.
HTML-based Letter Heads offer greater flexibility for designing customized document headers and footers.
Default Letter Head
If a Letter Head should be used automatically across documents, enable the Default Letter Head option before saving.
Once marked as default, ERPNext uses it automatically unless another Letter Head is selected in a specific document.

Letter Heads can appear in various printable ERPNext documents, including:
- Sales Orders
- Sales Invoices

- Quotations
- Delivery Notes
- Payment Entries
- Salary Slips
- Any document that supports Print Formats
Best Practices
- Use high-quality logo images for professional print output.
- Create separate Letter Heads for different branches or legal entities if required.
- Use HTML-based Letter Heads when advanced formatting or branding is needed.
- Verify both PDF and HTML previews before finalizing the design.
- Set the most frequently used Letter Head as the default to ensure consistency across documents.
