A Quality Procedure in ERPNext is a Standard Operating Procedure (SOP) that provides documented instructions for carrying out routine business activities consistently and efficiently. It serves as a reference for employees to follow standardized processes, helping organizations maintain quality, reduce operational errors, and ensure compliance with internal policies and industry standards.
By defining standardized procedures, businesses can improve process consistency, minimize miscommunication, and establish repeatable workflows that contribute toward achieving organizational quality objectives.

Types of Quality Procedures
ERPNext supports two types of Quality Procedures depending on the complexity of the process being documented.
1. Simple Quality Procedure
A simple Quality Procedure consists of a sequence of instructions or process steps that users follow to complete a specific activity and achieve a Quality Goal.
This type of procedure is suitable for straightforward operational tasks that do not require further breakdown into multiple procedures.
2. Parent Quality Procedure with Sub-Procedures
For more complex business processes, a Quality Procedure can be organized into multiple sub-procedures.
Each sub-procedure can contain its own set of process steps, allowing organizations to build hierarchical procedures for large or multi-stage workflows.
When one or more sub-procedures are linked to a Quality Procedure, ERPNext automatically treats it as a parent procedure and enables the Is Group option.
How to Create a Quality Procedure
Step 1: Create a New Procedure
Open the Quality Procedure list and click New to create a new procedure.
Step 2: Enter the Procedure Details
Provide a descriptive name that clearly identifies the purpose of the Quality Procedure.
Step 3: Define the Process Steps
In the Processes table, enter the individual process descriptions or instructions that users should follow while performing the procedure.
Each process description represents a step in the Standard Operating Procedure.
Step 4: Link Child Procedures (Optional)
If the procedure consists of multiple independent procedures, link them using the Child Procedure field.
Once child procedures are linked:
- The current procedure becomes the parent procedure.
- The Is Group option is automatically enabled.
- The linked procedures function as individual sub-procedures within the overall workflow.
Step 5: Save the Procedure
Save the document after entering the required information.
A Quality Procedure can also be saved without defining individual process descriptions if the procedure title itself clearly explains the required activity.
Parent and Child Procedures
ERPNext allows organizations to build hierarchical Quality Procedures by establishing parent-child relationships between procedures.
For example, a procedure named Issue Resolution may require another procedure called Issue Classification to be completed first. In such cases:
- Issue Resolution becomes the parent procedure.
- Issue Classification is linked as its child procedure.
This hierarchy ensures that dependent activities are completed in the correct sequence.
Using Quality Procedure in Quality Goals
Once a Quality Procedure has been created, it can be associated with a Quality Goal.
Linking a procedure to a Quality Goal establishes the standard process that should be followed while working toward achieving the defined quality objectives.
Associating Quality Procedures with Quality Goals ensures that quality objectives are achieved through standardized and repeatable operational processes.
Sub-Procedures
Within the Processes table, each process can either represent:
- A simple instructional step.
- A linked Quality Procedure that acts as a reusable sub-procedure.
This modular approach allows organizations to reuse common procedures across multiple workflows while maintaining a structured quality management system.
