Handling Purchase Price Adjustments Using Debit Notes in ERPNext
A Debit Note in ERPNext can be used not only for returning goods but also for adjusting the purchase price of items after a Purchase Invoice has already been created. This is useful when a supplier revises the price of goods after invoicing or issues a post-invoice price adjustment.
Instead of cancelling and recreating the original Purchase Invoice, you can issue a Debit Note for the price difference. ERPNext automatically adjusts the outstanding amount of the original Purchase Invoice once the Debit Note is submitted.
A Debit Note for price adjustment only needs to include the amount by which the purchase price is being reduced. There is no need to recreate the entire invoice.
Example Scenario
Suppose you created a Purchase Invoice for an item worth INR 20,000.
Later, the supplier agrees to reduce the item’s price to INR 15,000.
Instead of modifying the original invoice, create a Debit Note for the price difference of INR 5,000.
ERPNext will automatically reduce the outstanding payable amount against the original Purchase Invoice.
Steps to Create a Debit Note for Price Adjustment
- Open the original Purchase Invoice.
- Click Create → Debit Note.
- In the Debit Note, enter only the amount by which the purchase price should be reduced.
- Review the document.
- Save and Submit the Debit Note.
How ERPNext Processes the Adjustment
After submission, ERPNext will:
- Reduce the outstanding balance of the original Purchase Invoice.
- Update the supplier payable automatically.
- Maintain a complete audit trail between the invoice and the Debit Note.
- Avoid the need to cancel or amend the original Purchase Invoice.
The Debit Note remains linked to the original Purchase Invoice, ensuring accurate accounting while preserving document history.
