Capacity Planning

Capacity Planning in ERPNext helps manufacturers plan and monitor production jobs across available workstations. It ensures that manufacturing operations are scheduled according to workstation availability, working hours, and production capacity, preventing overloading of resources and improving production efficiency.

By considering workstation schedules during Work Order creation, Capacity Planning enables businesses to allocate manufacturing operations effectively, track production time, and optimize the utilization of machines and work centers.

How Capacity Planning Works

Capacity Planning uses information from Operations, Workstations, Bills of Materials (BOMs), and Work Orders to determine where and when manufacturing operations should be performed.

When a Work Order is submitted, ERPNext schedules each operation on the appropriate workstation based on its configured working hours and availability.

System Behavior

ERPNext automatically schedules manufacturing operations on available workstations during Work Order submission. The scheduling considers workstation working hours, operational capacity, and the estimated duration of each operation.

Prerequisites

Before using Capacity Planning, the following manufacturing records should be configured:

  • Operations
  • Workstations
  • Bill of Materials (BOM)
  • Work Orders

Operations

Manufacturing operations define the individual production activities that are performed during the manufacturing process.

Each operation can later be assigned to a workstation through the Bill of Materials, allowing ERPNext to schedule production accordingly.

Workstations

Workstations represent the machines, production lines, or work centers where manufacturing activities are carried out.

Each Workstation stores important production information such as:

  • Supported manufacturing operations.
  • Operating costs.
  • Working hours.
  • Production availability.

These details are used by the Capacity Planning engine while scheduling manufacturing jobs.

Bill of Materials (BOM)

Along with defining the raw materials required to manufacture a product, the Bill of Materials also specifies the manufacturing operations and workstations involved in the production process.

This operational information enables ERPNext to determine how production should be scheduled once a Work Order is created.

Work Orders

When a Work Order is submitted, ERPNext automatically allocates the manufacturing operations defined in the BOM to the appropriate workstations.

The system also creates operational records for tracking production activities and recording the actual time spent on each manufacturing operation.

This allows manufacturers to compare planned production time with actual execution time and improve future production planning.

Capacity Planning Validation

During Work Order submission, ERPNext validates whether each manufacturing operation can be scheduled within the available working hours of the assigned workstation.

If the system is unable to schedule an operation, it prevents the Work Order from being submitted and displays a validation error.

Common Reasons for Validation Errors

The following situations commonly cause Capacity Planning validation errors:

  • The assigned Workstation does not have working hours configured.
  • The estimated duration of an operation exceeds the workstation’s available working hours for a single day.

Troubleshooting

If Capacity Planning validation fails, first verify that the assigned Workstation has working hours configured. If working hours already exist, review the estimated operation duration. Long operations that cannot be completed within a single working day should be divided into smaller operations so they can be scheduled successfully.

Operation Scheduling

ERPNext schedules every manufacturing operation individually.

Each operation is expected to start and finish within the workstation’s available working hours.

If an operation requires more time than the workstation can provide in a single working day, ERPNext requests users to split the operation into multiple smaller operations for proper scheduling.

This approach improves production planning and prevents unrealistic manufacturing schedules.

Overtime Scheduling

Manufacturers who need to perform production beyond the normal working hours can enable Overtime in the Manufacturing Settings.

When Overtime is enabled:

  • ERPNext allows operations to extend beyond the workstation’s regular working hours.
  • Capacity Planning validations related to working-hour limits are relaxed.
  • Production can continue outside standard shift timings when necessary.

Disabling Capacity Planning

If an organization does not require workstation scheduling or production time tracking, Capacity Planning can be disabled.

To disable the feature, enable the following option in Manufacturing Settings:

  • Disable Capacity Planning and Time Tracking

After disabling this option, ERPNext no longer validates workstation capacity or schedules manufacturing operations based on workstation availability.
