Stock Reconciliation
Stock Reconciliation is the process of physically verifying inventory and updating system records so that book stock matches actual stock. It is typically performed periodically (such as month-end or year-end) to ensure accurate inventory valuation and financial reporting.
This process ensures that discrepancies between physical inventory and system stock are identified and corrected, maintaining accuracy in both stock quantity and valuation.

1. Purpose of Stock Reconciliation
Stock Reconciliation is used to align actual physical inventory with system records and ensure accurate valuation of stock in accounting reports.
- Align Physical and Book Stock — Ensures that system quantities match actual warehouse counts.
- Correct Inventory Errors — Fixes discrepancies due to missed entries, damage, or manual errors.
- Support Financial Reporting — Provides accurate stock valuation for balance sheets and financial statements.
In ERPNext, Stock Reconciliation is also used for:
- Posting opening stock when starting inventory tracking
- Correcting stock quantities and valuation after physical audits
2. Opening Stock Entry
Opening Stock is used to initialize inventory balances in ERPNext when starting system usage or adding new items with stock.
- Go to Stock Reconciliation and click New.
- Set Purpose = Opening Stock and adjust the posting date and time if required.
- Enter Item Code, Warehouse, Quantity, and Valuation Rate.
- If items include Serial No or Batch No, enter them manually or leave blank for auto-generation.
- For auto-generation, configure Serial Number Series in Item master or enable automatic batch creation.
- The system assigns the difference amount to a temporary opening account.
- Save and submit the document.
The “Maintain Stock” option must be enabled in the Item master for stock reconciliation to work correctly.
3. Stock Reconciliation Process
This process is used during physical stock audits to update inventory quantities and valuation based on actual counted stock.
- Open Stock Reconciliation and click New.
- Select Purpose = Stock Reconciliation and set posting date/time.
- Enter Item Code and Warehouse for each item being adjusted.
- The system fetches current quantity and valuation rate automatically.
- Update quantity and rate based on physical stock count.
- The difference is posted to the Stock Adjustment account by default.
- Select Cost Centre if required and submit the document.
4. Upload Stock Data via Spreadsheet
For large inventories, stock reconciliation can be done using CSV upload to simplify bulk updates.
- Download the CSV template from the Stock Reconciliation form.
- Enter Item Code, Warehouse, Quantity, and Valuation Rate without modifying headers.
- Ensure all item codes and warehouses exactly match ERPNext master records.
- Upload the completed file into the system.
- Review the data, then save and submit.
CSV uploads are case-sensitive, so even small mismatches in item or warehouse names will cause errors during import.
5. Fetch Stock Balance Automatically
ERPNext allows users to automatically fetch existing stock balances as of a selected date and time for faster reconciliation.
- Click the Items button inside Stock Reconciliation.
- Select warehouse and date/time.
- System pulls current stock quantity and valuation.
- Modify values as per physical verification.
6. Barcode-Based Stock Counting
Stock Reconciliation supports barcode scanning to speed up physical inventory counting and reduce manual entry errors.
- Enable Scan Mode in the reconciliation form.
- Set default warehouse before scanning.
- Scan item barcodes using a scanner.
- Each scan automatically updates item quantity in the table.
7. Serial and Batch Handling
For serialized or batched items, ERPNext provides two approaches to reconcile inventory accurately.
Option 1: Serial / Batch Fields
- Use traditional serial or batch number fields in the item row.
- System automatically creates serial/batch entries during submission.
Option 2: Serial & Batch Bundle
- Use Serial/Batch Bundle for more structured control.
- Allows reconciliation of selected or all serial/batch numbers.
- Useful for partial adjustments or specific batch corrections.
8. Accounting Impact
Any difference between book stock and physical stock is recorded in accounting as an adjustment entry.
- Stock increase or decrease is reflected in inventory valuation.
- Difference is posted to Stock Adjustment or Temporary Opening account.
- Ensures financial statements reflect accurate stock value.
9. Best Practices
- Perform stock reconciliation regularly, especially at month-end or year-end.
- Always ensure warehouse accuracy before starting reconciliation.
- Use barcode scanning for faster and more accurate physical counting.
- Avoid frequent manual adjustments to maintain inventory integrity.
- Reconcile serialized and batch items carefully to prevent mismatch errors.
