CRM Settings

CRM Settings allow organizations to configure the default behavior of the CRM module according to their business requirements. These settings control how Leads, Opportunities, Quotations, Campaigns, and customer communications are managed throughout the sales cycle.

By configuring CRM Settings, businesses can standardize their sales processes, automate repetitive tasks, reduce manual effort, and maintain consistency across CRM records.

Most CRM Settings define the default behavior of the system, helping organizations enforce consistent workflows while reducing manual configuration during day-to-day operations.

Business Benefit

Properly configured CRM Settings improve data consistency, automate routine CRM activities, simplify sales management, and provide a standardized experience for sales teams.

Lead Settings

Lead-related settings determine how new leads and marketing campaigns are managed within ERPNext.

Campaign Naming By

This setting controls how new Campaign records are named when they are created.

Organizations can define a consistent naming convention so that every campaign follows the same format, making campaigns easier to identify and manage.

  • Standardizes campaign naming.
  • Automatically generates campaign names based on predefined rules.
  • Improves campaign organization and reporting.

Allow Lead Duplication Based on Emails

By default, ERPNext prevents multiple Leads from being created using the same email address.

When this setting is enabled, the system allows users to create multiple Lead records that share the same email address.

  • Allows duplicate email addresses across Lead records.
  • Useful when multiple business opportunities originate from the same contact.
  • Provides greater flexibility for specific sales processes.
Example

A consulting company may receive multiple independent project inquiries from the same customer email address. Enabling this setting allows each inquiry to be maintained as a separate Lead while using the same contact information.

Auto Creation of Contact

When enabled, ERPNext automatically creates a Contact record whenever a new Lead is created.

This eliminates the need to manually create contact records after lead creation.

  • Automatically generates Contact records.
  • Reduces manual data entry.
  • Ensures contact information is immediately available throughout the CRM process.

Opportunity Settings

Opportunity settings help organizations manage inactive opportunities and maintain a clean sales pipeline.

Close Replied Opportunity After Days

This setting automatically closes Opportunities that remain inactive for a specified number of days.

If an Opportunity is no longer in an active state and no further activity occurs within the configured period, ERPNext automatically marks it as closed.

  • Automatically closes inactive Opportunities.
  • Keeps the sales pipeline up to date.
  • Reduces clutter from outdated opportunity records.

This automation helps sales teams focus on active opportunities instead of manually reviewing old records.

Quotation Settings

Quotation settings define the default validity period for customer quotations.

Default Quotation Validity Days

ERPNext automatically calculates the Valid Till date for new Quotations based on the number of days configured in this setting.

By default, quotations remain valid for 30 days from the posting date, although organizations can configure any validity period that matches their business policies.

  • Automatically sets quotation expiry dates.
  • Maintains consistent quotation validity across the organization.
  • Users can still modify the Valid Till date manually when required.
Business Benefit

Using a default quotation validity period ensures customers receive quotations with consistent expiration dates while reducing manual effort during quotation creation.

Other Settings

Carry Forward Communication and Comments

This setting controls whether emails and comments are transferred when CRM documents are converted from one stage to another.

When enabled, ERPNext automatically copies communication history and comments from:

  • Lead → Opportunity
  • Opportunity → Quotation

This ensures that all previous discussions remain available throughout the sales process without requiring manual copying.

Carrying forward communication preserves the complete conversation history, allowing sales teams to maintain context as a prospect progresses through the CRM pipeline.

Key Summary

CRM Settings in ERPNext allow organizations to configure the default behavior of Leads, Opportunities, Quotations, Campaigns, and communications. These settings automate routine CRM operations, standardize sales processes, improve data consistency, and help maintain an organized and efficient CRM workflow.
