Reorder Level Management

In ERPNext, Reorder Level Management is used to prevent stockouts by defining a minimum stock threshold for each item. When inventory falls below this threshold, the system triggers alerts or automatically creates purchase-related actions.

This ensures that procurement teams are notified in advance and can replenish stock before it impacts sales or production operations.

1. Concept of Reorder Level

A reorder level represents the minimum quantity of an item that should always be available in stock. Once the available quantity drops below this level, ERPNext identifies the need for replenishment.

  • Reorder Level – Minimum stock threshold that triggers replenishment.
  • Reorder Quantity – Suggested quantity to be ordered or transferred.

2. Setting Reorder Levels in Item Master

Reorder levels can be configured directly in the Item Master, allowing businesses to define stock policies per item.

  • Navigate to the Item Master.
  • Set Reorder Level and Reorder Quantity.
  • Optionally configure warehouse-specific reorder levels for more granular control.

If an item is stored across multiple warehouses, ERPNext allows defining different reorder levels for each warehouse to reflect actual consumption patterns.

3. Warehouse-Wise Reorder Configuration

For businesses with distributed inventory systems, reorder rules can be customized per warehouse.

  • Define different reorder levels based on warehouse demand.
  • Set reorder quantity according to location-specific consumption rates.
  • Ensure accurate replenishment planning across the supply chain.
System Logic

ERPNext evaluates projected stock at the warehouse or group warehouse level before triggering reorder actions.

4. Automatic Material Request Creation

ERPNext can automatically generate Material Requests when stock falls below reorder levels, reducing manual monitoring effort.

  • Enable Auto Material Request in Stock Settings.
  • The system monitors projected stock continuously.
  • When stock drops below reorder level, a Material Request is automatically created.

Each item may generate a separate Material Request depending on configuration and stock grouping rules.

5. Notification and Alerts

Once a Material Request is created, users with the Purchase Manager role receive notifications via email.

If automatic creation fails due to system or configuration issues, error messages are also sent to responsible users for immediate resolution.

Common Issue

Errors may occur due to fiscal year misconfiguration or incorrect stock settings. Ensuring proper fiscal year setup is essential for reorder automation.

6. System Evaluation Logic

ERPNext determines reorder requirements based on projected stock levels rather than only current stock quantity.

  • If projected quantity is below reorder level, a Material Request is triggered.
  • If stock remains above reorder level, no action is taken.
