Opportunity

An Opportunity represents a qualified sales prospect that has a genuine interest in purchasing your products or services. It is the next stage after a Lead, indicating that the prospect has been evaluated and has the potential to become a customer.

While a Lead simply represents a potential customer, an Opportunity contains more detailed sales information such as the products or services required, the expected deal value, the probability of closing the deal, and follow-up activities. ERPNext enables organizations to manage Opportunities throughout the sales cycle until they are either converted into a Quotation and Sales Order or marked as lost.

An Opportunity can be created from an existing Lead or directly for an existing Customer. Multiple Opportunities can also be maintained for the same Lead or Customer whenever different sales requirements arise.

Opportunity management helps sales teams prioritize qualified prospects, forecast potential revenue, monitor follow-ups, and track deals from initial qualification through successful conversion.

How to Create an Opportunity

To create a new Opportunity:

  1. Navigate to the Opportunity list.
  2. Click Add Opportunity.
  3. Select Opportunity From as either Lead or Customer.
  4. If the Opportunity originates from a Lead, select the corresponding Lead record.
  5. Alternatively, open an existing Lead and create an Opportunity directly using the Create menu.
  6. Select an Opportunity Type to categorize the opportunity.
  7. Enter sales-related information such as Opportunity Amount, Probability of Conversion, and Currency.
  8. If required, enable With Items and add the products or services requested by the customer.
  9. Specify the Source of the Opportunity.
  10. Save the document.

An Opportunity may originate from either:

  • An existing Lead that has been qualified.
  • An existing Customer requesting additional products or services.

This flexibility allows businesses to manage both new business opportunities and repeat sales using the same workflow.

Opportunity Type

Opportunity Type classifies the nature of the business opportunity.

Common Opportunity Types include:

  • Sales
  • Support
  • Maintenance
  • Consulting
  • Partnership

Classifying opportunities by type helps organizations organize their sales pipeline and assign opportunities to the appropriate teams.

Sales Information

ERPNext allows users to capture important sales information that helps evaluate each opportunity.

  • Opportunity Amount to estimate potential revenue.
  • Probability to estimate the likelihood of winning the opportunity.
  • Currency for multinational sales transactions.

Items

If the customer has already specified the required products or services, users can enable the With Items option and add detailed item information.

  • Products or services requested.
  • Required quantities.
  • Item-specific information for quotation preparation.
Example

A customer requests a quotation for ten industrial pumps and two years of maintenance support. The Opportunity can capture both the products and service requirements, making quotation preparation faster and more accurate.

Reminders for Follow-up

Maintaining regular communication is essential for converting opportunities into successful sales.

ERPNext allows users to schedule future follow-ups using:

  • Next Contact Date.
  • Next Contact By.

When these fields are configured, ERPNext automatically creates a calendar event and reminds the assigned user on the scheduled date.

Automatic Opportunity Assignment

Using Assignment Rules, ERPNext can automatically assign newly created Opportunities to sales representatives based on predefined business rules.

  • Automatically distribute Opportunities.
  • Reduce manual assignment effort.
  • Balance workload among sales executives.
  • Improve response time.

Automatic assignment ensures qualified opportunities are immediately routed to the appropriate sales representative.

Automatic Opportunity Closure

Inactive Opportunities can be closed automatically after a specified number of days.

The inactivity period is configured in the CRM Settings, allowing organizations to maintain an accurate and up-to-date sales pipeline.

  • Automatically close inactive Opportunities.

Create a Quotation

Once customer requirements have been finalized, a Quotation can be created directly from the Opportunity.

ERPNext automatically transfers relevant information, reducing duplicate data entry and ensuring consistency across sales documents.

Create a Supplier Quotation

In cases where pricing from suppliers is required before responding to the customer, ERPNext allows users to generate a Supplier Quotation directly from the Opportunity.

This is particularly useful for trading companies and distributors that purchase products only after receiving customer inquiries.

Regularly reviewing your Opportunity pipeline helps organizations forecast future sales, allocate resources effectively, and identify potential revenue before orders are confirmed.

Track Lost Opportunities

If an Opportunity is not successful, ERPNext allows users to capture detailed information about why it was lost.

Users can record:

  • Reason for losing the Opportunity.
  • Competitor who won the business.
  • Detailed comments explaining the outcome.

This information helps organizations identify trends, understand competitive challenges, and improve future sales strategies.

Minutes to First Response

ERPNext automatically calculates the time taken to send the first email response after an Opportunity is created.

The calculated value is displayed as Minutes to First Response and is also available in the corresponding CRM report.
