Newsletter
A Newsletter in ERPNext is an email communication sent periodically to one or more groups of subscribers. It is commonly used to share company updates, product announcements, promotional offers, educational content, newsletters, and other important information with customers, prospects, employees, or business partners.
Unlike an Email Campaign, which sends a sequence of scheduled emails, a Newsletter is generally a single email distributed to multiple recipients at a specific time.
Newsletters help organizations communicate with large audiences efficiently while keeping subscribers informed and engaged.
Prerequisites
Before creating a Newsletter, ensure the following are available:
- An Email Group containing the subscribers.
- A configured Email Account for sending emails.
- The newsletter content including subject and message.
How to Create a Newsletter
To create a Newsletter, go to:
Home > Settings > Email > Newsletter
Step 1: Create a New Newsletter
- Open the Newsletter list.
- Click New.
Step 2: Select the Recipient Group
In the Recipient table, select one or more Email Groups that should receive the newsletter.
You can select multiple Email Groups if the same newsletter needs to be sent to different categories of subscribers.
Step 3: Enter the Subject
Specify the subject line of the newsletter.
This is the title recipients will see in their inbox and should clearly describe the purpose of the email.
Step 4: Create the Newsletter Content
Enter the email content in the Message section.
The message can include:
- Company announcements.
- Product launches.
- Promotional offers.
- Industry news.
- Event invitations.
- Educational articles.
- Images, links, and formatted text.
Step 5: Publish the Newsletter
Enable Publish if you want the newsletter to be available as a webpage.
Publishing creates a web version of the newsletter that recipients can view in their browser.
Step 6: Include an Unsubscribe Link
Enable Send Unsubscribe Link to include an unsubscribe option in the email.
This allows recipients to opt out of future newsletters whenever they choose.
Step 7: Include a Web View Link
If the newsletter is published, you can enable Send Web View Link.
Recipients will receive a link that opens the newsletter in a web browser if they cannot view it properly in their email client.
Step 8: Save and Send
After reviewing the newsletter, save the document and send it immediately or schedule it for later.
Features
Create Subscriber Groups
ERPNext uses Email Groups to organize subscribers.
Instead of selecting recipients individually, you simply choose one or more Email Groups while creating the newsletter.
For example, separate Email Groups can be created for:
- Existing customers.
- Potential customers.
- Employees.
- Partners.
- Customers from different regions.
- Subscribers interested in specific products.
Using Email Groups makes it easy to send targeted newsletters to the appropriate audience.
Schedule Newsletter Delivery
Newsletters do not have to be sent immediately.
ERPNext allows you to specify a future date and time for sending the newsletter automatically.
Scheduling newsletters is useful for:
- Product launches.
- Holiday greetings.
- Marketing campaigns.
- Monthly newsletters.
- Event reminders.
Once scheduled, ERPNext automatically sends the newsletter at the specified time without requiring further user intervention.
Test the Newsletter Before Sending
Before sending the newsletter to all subscribers, you can send a test email to yourself or another reviewer.
To test the newsletter:
- Enter a Test Email Address.
- Click Test.
- Review the received email.
- Verify formatting, links, images, and content.
- Click Send once everything has been confirmed.
Testing helps identify formatting issues or incorrect content before the newsletter reaches all subscribers.
Benefits of Using Newsletters
- Communicate with large subscriber groups efficiently.
- Share product updates and company announcements.
- Promote offers and marketing campaigns.
- Keep customers and prospects engaged.
- Support scheduled email delivery.
- Allow recipients to unsubscribe easily.
- Provide a web version of the newsletter for better accessibility.
- Test newsletters before sending them to subscribers.
