Maintenance Visit

A Maintenance Visit records an engineer’s visit to a customer’s location for servicing, repairing, or maintaining an item. It helps organizations document maintenance activities, track work performed, and maintain a complete service history.

Maintenance Visits are commonly created from Sales Orders with the Maintenance order type.

How to Access Maintenance Visit

Home > Support > Maintenance > Maintenance Visit

A Maintenance Visit is typically created from a Sales Order of type Maintenance.

 

Prerequisites

Before creating a Maintenance Visit, ensure the following records are available:

  • Customer
  • Item

1. Create a Maintenance Visit

Follow these steps to create a Maintenance Visit:

  1. Open the Maintenance Visit list.
  2. Click New.
  3. Verify or edit the automatically populated date and time.
  4. Select the Customer.
  5. Select the Maintenance Type.
  6. Set the Completion Status.
  7. Select the Item Code and Serial Number.
  8. Enter the maintenance description.
  9. Select the Sales Person or service engineer performing the maintenance.
  10. Record the work completed.
  11. Save the document.

 

2. Maintenance Details

2.1 Maintenance Type

The Maintenance Type specifies the nature of the service visit.

Available options include:

  • Scheduled — Planned preventive maintenance.
  • Unscheduled — Maintenance requested outside the planned schedule.
  • Breakdown — Emergency repair due to equipment failure.

Selecting the appropriate Maintenance Type helps categorize service activities and improve maintenance tracking.

2.2 Completion Status

The Completion Status indicates the outcome of the maintenance visit.

  • Partially Completed — Only part of the required work has been completed.
  • Fully Completed — All maintenance work has been completed successfully.

2.3 Item Details

Record the item that was serviced by selecting its:

  • Item Code
  • Serial Number

This ensures that maintenance records remain linked to the correct asset throughout its lifecycle.

3. Additional Information

3.1 Customer Feedback

You can record feedback provided by the customer regarding the maintenance visit.

Customer feedback helps evaluate service quality and identify opportunities for improvement.

3.2 Customer Details

After selecting a customer, ERPNext automatically retrieves the following information:

  • Customer Address
  • Contact Person
  • Territory
  • Customer Group

These details simplify maintenance documentation and reduce manual data entry.
