Promotional Scheme in ERPNext (Detailed Guide)

Introduced in version 12

A Promotional Scheme is a temporary discount on one or more products. It helps businesses attract customers by offering limited-time pricing benefits.

SUMMARY
A Promotional Scheme in ERPNext automatically creates Pricing Rules based on conditions like item, quantity, amount, customer group, or transaction value. It is used for running structured discounts and offers.

1. Overview

Promotional schemes are used to:

  • Apply temporary discounts on products or services
  • Run seasonal or marketing campaigns
  • Manage pricing across multiple items or item groups

Each Promotional Scheme internally generates one or more Pricing Rules.

2. How It Works

When a Promotional Scheme is created:

  • The system automatically creates a Pricing Rule
  • Multiple pricing rules can be linked to one scheme
  • Rules can be applied based on item, item group, brand, or transaction

3. Prerequisites

Before creating a Promotional Scheme, ensure you have:

  • Item
  • Item Group
  • Customer
  • Supplier

4. How to Create a Promotional Scheme

  1. Go to Promotional Scheme and click New.
  2. Enter a title for the scheme.
  3. Select Apply On (Item Code / Item Group / Brand / Transaction).
  4. Select applicable items or groups.
  5. Choose Selling, Buying, or Both.
  6. Define Price or Product discount slabs.
  7. Save the document.
NOTE
On saving a Promotional Scheme, a Pricing Rule is automatically created in ERPNext.

5. Key Features

5.1 Mixed Conditions

Mixed Conditions allow combining multiple items for eligibility. The discount applies only when total quantity across selected items matches the defined range.

5.2 Cumulative Discount

With Is Cumulative, discounts apply across multiple transactions until total amount threshold is reached.

5.3 Apply Scheme on Other Item

You can apply conditions on one item but give discount on another item.

5.4 Party-Based Rules

Promotional Schemes can be applied based on:

  • Customer / Customer Group
  • Supplier / Supplier Group
  • Territory
  • Sales Partner
  • Campaign

5.5 Validity Control

Schemes can be restricted using from-date and to-date for time-based promotions.

6. Discount Types

  • Price Discount: Percentage or fixed amount discount
  • Product Discount: Free item on purchase of items

7. Example Use Case

If a customer buys 30 units of selected biscuits:

  • Apply 10% discount on selected items
  • OR offer another product at a reduced rate
