Converting Stock Items into Fixed Assets

Sometimes an item is initially purchased and managed as a stock or consumable item but later needs to be treated as a fixed asset. In such cases, the item must be converted into an Asset so that depreciation, maintenance, and other asset lifecycle activities can be tracked in ERPNext.

Once the Asset record is created, it becomes part of the Fixed Asset Register and can be depreciated according to the selected Asset Category.

1. Create a Fixed Asset Item

If a suitable fixed asset item does not already exist:

  1. Go to Item and click New.
  2. Enter the item details.
  3. Enable Is Fixed Asset.
  4. Configure the appropriate Asset Category and other asset-related settings.
  5. Save the Item.

2. Create the Asset Record

Create a new Asset using the fixed asset item.

  1. Go to Assets > Asset.
  2. Click New.
  3. Select the Fixed Asset Item.
  4. Enter details such as:
    • Purchase Date
    • Available-for-Use Date
    • Purchase Amount
    • Location
    • Asset Category
  5. Enable Calculate Depreciation if depreciation is required.
  6. Save and Submit the Asset.

3. Adjust Inventory

If the item is currently available in stock or recorded as a consumable item, adjust the inventory to reflect its conversion into a fixed asset.

Depending on your accounting process, this can be done using:

  • Stock Entry
  • Stock Reconciliation

This ensures that the item is removed from inventory and accounted for as a fixed asset.

4. Configure Depreciation

If depreciation applies to the asset:

  • Select the appropriate Asset Category.
  • Enable Calculate Depreciation.
  • Configure the depreciation method, frequency, finance book, and useful life.
  • Submit the Asset to generate the depreciation schedule.

Once submitted, ERPNext automatically tracks depreciation according to the configured schedule.

5. Result

After completing these steps:

  • The item is recorded in the Fixed Asset Register.
  • Depreciation schedules can be generated.
  • Maintenance, repairs, movements, and value adjustments can be tracked.
  • The asset becomes part of the complete Asset Management lifecycle in ERPNext.
