Address in ERPNext (Detailed Guide)
You can record addresses associated with Leads, Customers, Suppliers, Shareholders, Sales Partners, or Warehouses in ERPNext.
An Address can also exist as a standalone record without linking it to any entity.
1. Accessing Address
To open the Address list, navigate to:
Home > CRM > Address
2. Creating an Address
To create a new Address in ERPNext:
- Go to the Address list and click New.
- Select Address Type (Billing, Shipping, etc.).
- Enter address details such as:
- Address Line 1 & 2
- City / Town
- State
- Country
- Enter Email, Phone, and Fax (optional).
- Link the address using Link DocType and Link Name (Customer, Supplier, etc.).
- Click Save.
Addresses can also be created directly from Customer or Supplier records using the “New Address” button.
3. Key Features of Address
3.1 Linking Multiple Entities
A single address can be linked to multiple customers or suppliers.
It can also be shared between both customers and suppliers simultaneously.
3.2 Address Title Generation
If an address is linked to an entity, ERPNext automatically generates the title in the format:
Entity Name – Address Type
If not linked, you must manually define the title.
3.3 Preferred Billing and Shipping Address
You can mark addresses as:
– Preferred Billing Address
– Preferred Shipping Address
These are automatically fetched in:
– Sales Order
– Sales Invoice
– Delivery Note
This reduces manual selection during transactions.
3.4 GST Integration (India)
ERPNext supports GST compliance by allowing GST details to be stored at the Address level.
You can add:
– GSTIN
– GST State
This ensures correct tax calculation during sales transactions.
Important note:
> GSTIN is stored in Address because a single customer or supplier may have multiple GST registrations across states.
3.5 Company Address Setup
You can also add your own company addresses for invoicing and printing.
To do this:
– Enable Is Your Company Address
– Link it to Company via DocType and Name
This address can be used in GST invoices and official documents.
