Incoterms in ERPNext

Incoterms (International Commercial Terms) are globally recognized trade rules that define the responsibilities of buyers and sellers during international transactions. ERPNext allows you to record Incoterms and the associated named place in sales and purchase documents for better trade compliance and clarity.

Incoterms are published by the International Chamber of Commerce (ICC) and are widely used in international trade to clearly specify who is responsible for transportation, insurance, customs clearance, and delivery costs at different stages of the shipment.

1. What are Incoterms?

Incoterms are standardized trade terms that define the obligations, risks, and costs shared between the buyer and seller during the movement of goods.

They help both parties understand:

  • Who arranges transportation.
  • Who bears shipping costs.
  • When the risk transfers from seller to buyer.
  • Who is responsible for insurance and customs formalities.

2. What is the Named Place?

The Named Place is the specific location agreed upon by the buyer and seller where the obligations defined by the selected Incoterm are fulfilled.

Depending on the Incoterm, the Named Place could represent:

  • Port of shipment
  • Port of destination
  • Warehouse
  • Distribution center
  • Customer delivery location

The Named Place determines where responsibility and risk transfer from one party to the other.

3. Examples of Incoterms

FOB (Free on Board)

Under FOB, the seller’s responsibility ends once the goods are loaded onto the shipping vessel at the agreed port of shipment. From that point onward, the buyer assumes the transportation risk.

CIF (Cost, Insurance and Freight)

Under CIF, the seller is responsible for arranging transportation and insurance until the goods reach the named destination port.

4. Incoterms in ERPNext

ERPNext includes dedicated fields in supported sales and purchase transactions for recording Incoterm information.

The two available fields are:

  • Incoterm
  • Named Place

5. Incoterm Field

The Incoterm field is a Link field that allows users to select a standardized Incoterm applicable to the transaction.

Selecting an Incoterm ensures that the agreed shipping responsibilities are recorded consistently across documents.

6. Named Place Field

After selecting an Incoterm, ERPNext displays the Named Place field.

This field allows users to enter the exact location agreed upon by both trading parties, such as:

  • Port of Mumbai
  • Hamburg Port
  • Customer Warehouse
  • Distribution Center

The Named Place becomes part of the transaction record and provides additional clarity regarding delivery obligations.
