style=”margin:0;”>Using Sales Persons in Sales Transactions
ERPNext allows you to assign one or multiple Sales Persons to sales transactions such as Sales Orders, Delivery Notes, and Sales Invoices. This helps organizations track individual contributions, generate sales performance reports, and accurately measure revenue generated by each salesperson.
A Sales Person can be linked directly to a Customer or selected manually in individual sales transactions. When multiple sales representatives work together on the same deal, ERPNext lets you distribute the revenue contribution among them using percentage-based allocation.
1. Assign Sales Person to a Customer
To avoid selecting the Sales Person repeatedly for every transaction, you can assign one or more Sales Persons in the Customer master.
- Open the Customer document.
- Go to the Sales Team section.
- Add the Sales Person along with their contribution percentage.
- Save the Customer.
Whenever this Customer is selected in a Sales Order, Delivery Note, or Sales Invoice, ERPNext automatically fetches the assigned Sales Person(s).
2. Add Sales Person in Sales Transactions
Sales Persons can also be assigned directly inside sales transactions.
Supported transactions include:
- Sales Order
- Delivery Note
- Sales Invoice
Within the Sales Team section of the document, you can add one or more Sales Persons and specify their contribution percentage.
3. Sales Person Contribution
When multiple Sales Persons participate in the same sale, ERPNext distributes the transaction value according to each person’s contribution percentage.
Example:
- Sales Order Net Total: ₹1,00,000
- Sales Person A: 70%
- Sales Person B: 30%
ERPNext automatically calculates:
- Sales Person A Contribution = ₹70,000
- Sales Person B Contribution = ₹30,000
The combined contribution of all Sales Persons must always equal 100%. If only one Sales Person is assigned, ERPNext automatically sets the contribution to 100%.
4. Sales Person-wise Transaction Report
ERPNext provides a standard report to analyze sales handled by each Sales Person.
Navigate to:
Selling → Standard Reports → Sales Person-wise Transaction Summary
The report can be generated using:
- Sales Orders
- Delivery Notes
- Sales Invoices
This report helps businesses evaluate sales performance, monitor revenue generated by each salesperson, and compare results across different periods.
5. Sales Person vs Sales Partner
Although both are related to sales, they serve different purposes.
| Sales Person | Sales Partner |
|---|---|
| Internal employee responsible for sales. | External reseller, distributor, dealer, or channel partner. |
| Used for tracking sales performance. | Used for calculating partner commissions. |
| No commission calculation by default. | Supports automatic commission percentage and commission reports. |
If your organization pays commissions to internal employees, ERPNext does not calculate them automatically through the Sales Person master. In such cases, you can either configure custom scripts or use the Sales Partner feature if it aligns with your business process.
6. Benefits of Using Sales Persons
- Track revenue generated by individual sales representatives.
- Support multiple Sales Persons on a single transaction.
- Automatically calculate contribution based on percentages.
- Generate sales performance reports for better decision-making.
- Automatically populate Sales Persons from the Customer master.
SUMMARY
ERPNext enables businesses to assign one or multiple Sales Persons to customers and sales transactions, making it easy to track individual contributions and analyze sales performance. While Sales Persons are designed for internal sales tracking, commission management for external agents is handled through the Sales Partner feature.
