Maintenance Schedule

Maintenance Schedule helps you plan and manage upcoming maintenance visits for machines or equipment that require regular servicing.

It is especially useful for organizations that provide maintenance services or manage equipment requiring routine inspections and preventive maintenance. By scheduling maintenance in advance, businesses can ensure timely service and improve operational efficiency.

How to Access Maintenance Schedule

Go to:

Home > Support > Maintenance > Maintenance Schedule

Maintenance Schedules are commonly created from a Sales Order with the maintenance order type.

 

1. Prerequisites

Before creating a Maintenance Schedule, ensure the following records are available:

  • Customer
  • Item

2. How to Create a Maintenance Schedule

  1. Go to the Maintenance Schedule list and click New.
  2. Select the Customer.
  3. Select the Item(s) that require maintenance.
  4. Specify the Start Date and End Date.
  5. Select the Periodicity to define how often maintenance visits should occur.
    Available options include:

    • Weekly
    • Monthly
    • Quarterly
    • Half Yearly
    • Yearly
    • Random

    The schedule is generated automatically based on the selected periodicity. Choosing Random creates maintenance dates at random intervals.

  6. Verify the Number of Visits, which is calculated automatically based on the selected periodicity and date range.Example: If the schedule runs for one month with a Weekly periodicity, approximately four maintenance visits will be generated.
  7. Select the Sales Person responsible for performing the maintenance visits.
  8. Click Save.
  9. Click the Generate Schedule button to automatically create the maintenance visit schedule.
  10. Submit the document.

 

3. Schedule Generation

Clicking the Generate Schedule button creates separate schedule entries for each maintenance visit based on the selected periodicity.

Each maintenance activity is assigned to the selected Sales Person, allowing maintenance responsibilities to be planned in advance.

Once the Maintenance Schedule is submitted, calendar events are automatically created for the assigned Sales Person, helping them track upcoming maintenance visits.
