Shareholder in ERPNext
A Shareholder is an individual, company, or institution that owns one or more shares of a company. Since shareholders are the owners of a company, they benefit from the company’s growth through increased share value and may also bear losses if the company’s value declines.
From an accounting perspective, the company’s profits and losses ultimately belong to its shareholders, making shareholder-related transactions an important part of corporate governance and financial management.
ERPNext provides a comprehensive Share Management system that helps organizations manage shareholders, share issuance, share transfers, share balances, and share ledgers efficiently.
Every shareholder in ERPNext is uniquely identified using a Shareholder ID, and a unique Folio Number is automatically assigned once the shareholder participates in a share transaction.

1. How to Create a Shareholder
Follow these steps to create a new shareholder record:
- Go to the Shareholder list.
- Click New.
- Enter the Shareholder Name.
- Add the required Contact Details.
- Add the relevant Address Information.
- Save the document.
Once saved, the shareholder can be used in future share-related transactions within ERPNext.
Creating a Shareholder record does not automatically issue shares. Shares must be allocated separately before the shareholder can participate in share transactions.
2. Shareholder Identification
ERPNext uses unique identifiers to track shareholder records accurately.
- Shareholder ID – A unique identifier generated using a naming series, typically beginning with ACC-SH-.
- Folio Number – Automatically assigned when the shareholder participates in a share transaction.
The Folio Number serves as an additional reference for tracking ownership and share-related activities.
A Folio Number is generated only after the shareholder completes at least one share transaction.
3. Shareholder Operations
After shares are issued, shareholders can participate in various share management activities within ERPNext.
These include:
- Share Issuance
- Share Transfers
- Share Balance Tracking
- Share Ledger Management
- Share Ownership Monitoring
ERPNext automatically maintains records of all shareholder activities, making it easier to track ownership history and current share holdings.
Only shareholders who have been issued shares can participate in Share Transfer and other share-related transactions.
4. Contacts and Addresses
ERPNext stores Contacts and Addresses separately from shareholder records. This provides flexibility and avoids duplication of information.
A single shareholder can have:
- Multiple Contacts
- Multiple Email Addresses
- Multiple Phone Numbers
- Multiple Addresses
These records can also be linked to other documents and entities within ERPNext whenever required.
